PROJECT ADMINISTRATOR

POSITION SUMMARY: 

The primary responsibility of the Project Administrator is to provide support for project related activities across all Proconex companies. This includes supporting the creation, maintenance, and invoicing of projects. The individual must thrive in a team environment while maintaining a strong focus on customer satisfaction and on-time delivery, throughout all stages of the project lifecycle. This individual will have responsibility for diverse tasks including, but not limited to supporting the onboarding and offboarding of employees and contractors, procurement activities related to material and services, and providing critical information to project internal and external stakeholders. The successful candidate will be a meticulous, self-starter with a focus on ownership and accountability both independently and as part of a team.

Key Responsibilities:

  • Ability to work on tight deadlines, strong competency in using Microsoft Office applications such as Word and Excel and exceptional verbal and written skills.
  • Development of a strong understanding of the operation and use of the Proconex business system (IFS)
  • Understanding of the nuances of how projects are executed throughout the organization to easily assist multiple departments when needed.
  • Support of project management staff across all Proconex companies.
    • Ensure all employees and contractors are onboarded and offboarded correctly.
    • Assist in creation of projects.
    • Approving time and expenses related to projects.
    • Providing information as needed to project managers, customers, and any other stakeholder.
    • Create, send, and provide information as required to customers for project invoices.
  • Customer service-oriented approach, with a strong focus on meeting the needs of internal and external stakeholders.

The success of this position will be measured by on-time and accurate execution of assigned activities including efficient coordination and collaboration with diverse stakeholders such as operations management, project management, system sales, and other key business segments.

JOB REQUIREMENTS

  • EXPERIENCE: Strong technical aptitude and problem-solving skills, along with relevant degree and/or direct relevant experience in project support, sales support, or a similar role. Data entry experience with an ERP system.
  • SKILLS: Outstanding organizational and communication (verbal and written) skills are required. Proficiency in business technologies including MS Word, Excel, and ERP (IFS)systems. Understand software program relationships and work quickly and efficiently between multiple programs. Extensive organizational skills, handling multiple priorities daily, with a high attention to detail. Professional communication and exceptional collaboration skills with a high level of engagement and enthusiasm to drive results.
  • EDUCATION: Bachelor’s Degree and or direct relevant experience required.
  • WORKING CONDITIONS: Hours are 8:00 a.m. to 5:00 p.m. in a typical office setting. This position may require occasional pre-approved overtime. Hybrid work schedule is available pending completion of the onboarding process and subject to Manager approval.
  • PHYSICAL DEMANDS: Lifting up to 25 pounds.
