Job Summary:
We are seeking a reliable and professional Front Desk Receptionist to join our team. As the first point of contact for our company, you will play a crucial role in creating a positive and welcoming atmosphere for our clients and visitors. The ideal candidate will have excellent communication skills, strong organizational abilities, and a friendly and approachable demeanor.
Responsibilities:
- Greet and welcome clients and visitors with a warm and friendly attitude
- Answer phone calls, take messages, and transfer calls to the appropriate staff member
- Schedule appointments and maintain calendars for multiple team members
- Perform clerical duties such as filing, photocopying, scanning, and faxing
- Assist with order entry and inventory management tasks
- Provide customer support by addressing inquiries and resolving issues in a timely manner
- Manage incoming and outgoing mail and packages
- Maintain office supplies and ensure inventory is stocked
- Assist with basic bookkeeping tasks using QuickBooks software
- Coordinate travel arrangements for staff members when necessary
- Perform general office management duties to ensure smooth operations
Requirements:
- Previous experience of 1 year minimum as a Front Desk Receptionist/Treatment Coordinator or in a similar role preferred
- Knowledge of dental receptionist procedures is a plus
- Proficient in order entry systems and QuickBooks software
- Strong organizational skills with the ability to multitask effectively
- Excellent verbal and written communication skills
- Attention to detail with strong proofreading abilities
- Professional phone etiquette with the ability to handle inquiries courteously and efficiently
- Ability to maintain confidentiality of sensitive information
- Proficient in calendar management and scheduling appointments
