Are you a consistent, detail-oriented individual with excellent organizational and communication skills? Join our team as a Scheduling Coordinator / Dispatch and play a crucial role in coordinating preventive maintenance services for our valued customers.

As a Scheduling Coordinator / Dispatch, you will be an integral part of our Field Service Operations team, ensuring the smooth scheduling of maintenance services and providing top-notch customer service.

Responsibilities : Schedule, quote, and discuss repair services with customers and technicians. Accurately maintain daily, monthly, and annual T&M and PM scheduling systems.

Schedule site visits, repair services, UPS PM’s. Maintain the T&M Parts process and communicate to the customer when parts have been ordered and received as needed.

Maintain and research all month-end scheduling open tickets needed to process invoices. Audit and process weekly schedules and work orders.

Schedule Technician generator repairs as requested by the customer. Schedule Tech Training as requested by the Management Team.

Update customers on services and invoices both in person and over the phone. Communicate to management any invoice issues, customer complaints, or technician needs.

Dispatch field service technicians to customer sites. Open work orders and update applicable systems with service history.

Submit items requiring Contract Amendment / Adjustment to Customer Account to the Contracts department. Communicate POC Site changes to the Contracts Department.

Education / Qualifications : High School Diploma required; Associate’s Degree strongly preferred. Three (3) years’ experience in service industry scheduling or dispatching.

Familiarity with WennSoft Service and / or Great Plains Software is a plus. Success Characteristics : Excellent communication and multitasking skills.

Strong organizational skills with attention to detail. Sense of urgency and prioritization skills. Self-motivated with excellent problem-solving skills.

Strong conflict resolution skills. Excellent time management skills. Adaptability and ability to remain calm in stressful situations.

Physical Requirements : Prolonged periods of sitting at a desk and working on a computer. Ability to lift 15 pounds. Navigate various departments within the organization's facilities.
