Job Overview:
We are seeking a highly organized and proactive Administrative Executive to join our team. The ideal candidate will be responsible for overseeing and coordinating various administrative functions to ensure the smooth and efficient operation of our office. The Administrative Executive will play a key role in managing office activities, supporting Executive, Directors, Managers, and facilitating effective communication within the organization.
Responsibilities:
- Serve as the front desk point of contact for all visitors and callers, providing exceptional customer service
-Supervise and manage day-to-day office operations to ensure a well-organized and efficient work environment.
- Manage executive calendars, schedule appointments, and coordinate meetings
- Prepare and edit correspondence, reports, and presentations
- Handle travel arrangements and accommodations when needed
- Assist with project coordination and follow-up on action items
- Maintain and organize files, both physical and electronic
- Answer and direct phone calls with professionalism and phone etiquette
- Coordinate logistics for meetings, including conference room setup, catering, and technology needs
- Assist with personal tasks as needed by executives
- Utilize Calendar to manage schedules and reminders
- Handle sensitive information with confidentiality
Qualifications:
- Proven experience as an administrative assistant or executive assistant
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook Calendar
- Familiarity with phone systems and office equipment
- Ability to coordinate multiple projects simultaneously
- Exceptional attention to detail and accuracy in work
- Experience with project coordination is a plus
- Knowledge of DocuSign is a plus
We offer competitive compensation based on experience.
Please note that all positions at our company are paid positions. Internship positions are also compensated.
