Job Description:
We are seeking a highly organized and detail-oriented person to join our team as a Repair Coordinator. In this role, you will work closely with our Repair Manager to provide essential administrative support and ensure the smooth execution of various department tasks. Your responsibilities will include some data entry, handling warranty work, quoting for internal and external leads, scheduling repairs, internal team communication, and following up with leads for revenue conversion. Your exceptional organizational skills and proactive approach will contribute to our goal of delivering exceptional customer service and maintaining efficient repair operations.
Responsibilities:
Provide Administrative Support: Assist the Repair Manager with various administrative tasks, including but not limited to scheduling, filing, documentation, and data management.
Communication Management: Handle internal and external communication, responding to inquiries, scheduling appointments, and maintaining effective channels of communication within the repair team.
Quoting Internal Leads: Collaborate with our internal team to provide accurate and timely quotes for repair services, considering factors such as materials, labor, and other relevant variables.
Quoting External Leads: Engage with potential customers and external leads to provide detailed and competitive repair quotes, demonstrating our expertise and commitment to customer satisfaction.
Scheduling: Coordinate repair appointments and efficiently allocate resources, ensuring timely and efficient service delivery to customers.
Lead Intake and Qualification: Handle incoming leads, assess their requirements, and set up estimates, quotes, or other necessary procedures to initiate the repair process.
Follow-up with Leads / Revenue Conversion: Regularly follow up with leads to ensure prompt communication, address any questions or concerns, and support the conversion of leads into revenue-generating repair projects.
File Austin Energy Rebates: Accurately process and file Austin Energy rebates, ensuring compliance with all necessary documentation and deadlines.
File Warranty Work: Manage the filing and documentation process for warranty work, liaising with relevant suppliers or manufacturers as required.
Qualifications:
Experience cleaning swimming pools required.
Experience repairing swimming pool equipment is a plus.
Previous experience in a similar administrative or coordination role is preferred, but not required.
Exceptional organizational skills and attention to detail.
Strong communication and interpersonal abilities.
Ability to handle multiple tasks simultaneously and prioritize effectively.
Self-motivated and proactive, with a problem-solving mindset.
Proficient using basic office equipment such as email, scheduling, and quoting software.
Familiarity with repair and maintenance processes is advantageous.
Customer service-oriented, with a commitment to providing outstanding support.
