Job Title: Conference Concierge
Reports To: Director of Banquets
Job Qualifications
Education: High School Diploma or equivalent work history. Ability to speak, read, write, and comprehend the English language at a level sufficient to communicate effectively with clients, members, guests, and co-workers.
Training and Experience: Must have 1 year Luxury Resort experience in customer service or related position.
Job Knowledge: Must know finer points of service, a working knowledge of groups, a good understanding of Food and Beverage operations.
Job Summary: Supervise and manage the flow of all groups in house.
Physical Abilities: Must be able to work on feet, moving about for several hours at a time.
Job Duties and Functions
1. Must be able to work a flexible schedule, to include weekends, holidays.
2. Arrive to work on time, consistently.
3. Upon entering the property, arrive in proper uniform, crisp, clean and in good repair.
4. Hair must be clean and cut in a becoming style; management has final approval.
5. Attend all required training, safety courses; attend office and departmental meetings.
6. Report any safety hazards, follow up that hazard has been corrected, and assist with providing a safe work environment.
7. Check Daily, BEOs and Daily Event list and verify changes
8. Meet daily with group contacts / clients and attend to their operational needs.
9. Serve and embrace with passion that you are the assigned liaison between clients, group leaders and all Ponte Vedra Inn & Club departments thereby ensuring a successful program.
10. Handle any unexpected challenges in a timely manner.
11. Communicate any and all changes made by the client(s) to affected departments to include Banquets and assigned Conference Managers.
12. Coordinate deliveries from the mail room in an expeditious and timely manner.
13. Check ALL rooms and insure that all signage is correct and in appropriate locations and that all unused signage and equipment is out of guest view and moved to appropriate storage locations.
14. Check to insure lights, temperature and ambiance meet the client and resorts standards.
15. Audit and inspect every BEO for proper room set up, AV set up, IT / Telecommunication set up and then contact appropriate department to make corrections as required.
16. Ensure equipment is in good condition and test to insure it is functional (i.e., phones, AV equipment, IT equipment)
17. Walk property daily at opening, closing and during events with a keen eye for detail. Immediately notify Banquet Operations, Housekeeping and Engineering of any related issues of cleanliness and safety.
