Position Summary:
To access and conceptualize guest needs and desires for a variety of private events and make all arrangements necessary to execute the desired vision and goal. Must be able to engage and involve guests and home-owners in on-going events and that provide memorable experiences for the guests. Must have exceptional customer service and provide customized experiences that reflect ICONic service.
Essential Job Functions:
  • Consults with clients to assess and understand their needs for the event; areas of discussion and consultation include staffing, meeting rooms, ballrooms, catering, signage, programs, music, security, display areas, and other specialized requirements.
  • Compiles a list of prospective event locations; visits locations with clients and provides guidance on the final selection.
  • Compiles price lists and negotiates contracts for services, dates, times, and spaces.
  • Consults with clients and coordinates with staff to plan and develop event schedule and topics.
  • Ensures that events meet legal, safety, and health requirements and regulations; obtains necessary permits from fire and health departments.
  • Manages all administrative duties and details associated with the event including financial operations, distribution of promotional materials, and responding to inquiries.
  • Develops and maintains current lists of available services, and pricing options.
  • Maintains current knowledge of event planning standards and trends by attending seminars, consulting with other professionals, and reading trade publications.
  • Generate sales, interest, awareness and excitement around various events
  • Delivers and promotes prompt, courteous and friendly service to all members, guests and employees.
  • Performs other related duties as assigned.
Educations/Certificates/Licenses/Training:
Certification in Hospitality/Restaurant/Tourism/Event Planning preferred
Experience/Background/Knowledge/Skills:
  • At least two years of experience in customer service, retail, event planning, or a related field.
  • Communicate effectively with managers, guests and employees in a fast-paced environment.
  • Proactively create solutions and implement immediately.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and meticulous attention to detail.
  • Must be hospitality focused and remain professional at all times.
  • Ability to respond to problems and to assist members and guests with a calm, courteous, and helpful manner and attitude.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Thorough understanding of legal regulations and permits required for events.
  • Proficient with Microsoft Office Suite or related software.
Physical Requirements:
While performing the duties of this job, the employee is regularly required to stand and talk or hear. The employee frequently is required to walk; use hands to finger, handle, or feel; reach with hands and arms; and climb or balance. The employee is occasionally required to sit; stoop, kneel, and crouch; and taste or smell. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
Schedule Requirements:
Must be available to work all shifts including weekends and holidays.
