Planned Parenthood of Northern New England is Hiring a Philanthropy Associate Near Portland, ME

Planned Parenthood of Northern New England (PPNNE) is seeking candidates for a full time, 37.5 hours/ week, Philanthropy Associate position based in our Portland, ME office. Reporting to the Senior Philanthropy Director or Senior Philanthropy Officer, the primary goal of the Philanthropy Associate position is to support the work of the Philanthropy Officer Team. The Philanthropy Associate is responsible for performing a wide range of administrative and clerical duties, with much of the work being computer-based, including but not limited to: recording donor interactions, performing data entry, scheduling and information requests, preparing materials, drafting internal correspondence, managing mailings, supporting prospect research, tracking deadlines, managing excel lists, and providing logistical and other support for special events.

Characteristic Responsibilities:

  • Record donor interactions for major gifts program, track relationships and other relevant information in the donor database in accordance with database policies and procedures.
  • General office support including data entry, photocopying, and filing as needed. This may include project-based work or ongoing responsibilities. These responsibilities may change from time to time.
  • Work with the Development Database Operations Manager to create attributes, apply global changes, and other record enhancement techniques to ensure data integrity and accurate reporting.
  • Assist team with utilizing moves management tools in the development database, including action trackers, and proposals.
  • Support moves management between donor levels based on prospecting, data and research.
  • Provide meeting coordination and administrative support to Philanthropy Officers working with volunteers, board, event hosts, or fundraising committees.
  • Track and coordinate prospect research requests and input results into the database; perform internal prospect research.
  • Utilize the database to support major gift fundraising efforts, including queries, reporting and data pulls; manage excel spreadsheets and lists.
  • Work in partnership with Philanthropy Officers to prepare donor briefings.
  • Support the preparation and mailing of donor communication materials.
  • Provide administrative support for routine cultivation and stewardship activities.
  • Provide logistical support for major donor and other development events. For this and other duties, they may work in concert with other development staff in order to complete Major Gifts-related work in a fashion that makes the most sense given geography and agency resources.
  • Perform other duties as assigned.
  • Maintain donor confidentiality and abide by the Association of Fundraising Professionals code of ethics in all fundraising activities.
  • Conform to standards of performance and conduct, including those pertaining to patient and donor rights, so that the best possible service may be provided.
  • Incorporate customer satisfaction into all aspects of operations.
  • Support a culture where each team member takes responsibility for evaluating existing systems, helping to create new systems and influencing decision making as appropriate.
  • Support a culture where each staff person listens and contributes to department, site, and agency discussions and decision making as appropriate.
  • Demonstrate flexibility and teamwork, understand that staffing needs and schedules fluctuate, which will require flexible work schedules and/or additional work hours at times.
Qualifications:
  • High School graduation; Associates Degree and 1 -2 years of relevant experience.
  • Knowledge of MS Office applications.
  • Comfort with email, spreadsheets, databases.
  • Pleasant telephone demeanor.
  • High level of attention to detail and accuracy.
  • Commitment to customer service and satisfaction.

  • Flexibility, initiative, creative thinking and a willingness to learn.

  • Ability to sit for up to 7.5 hours (with reasonable breaks) and keystroke for most of the day.
  • Ability to operate all normal office equipment.
  • Must be willing to travel regionally for occasional meetings and events, including some occasional evenings and possible weekends.
  • Database experience; Raisers Edge preferred
Compensation & Benefits :
  • The range of pay for this position is $19.77/hr - $26.61/hr based on years of experience. Access to benefits are available including health, dental, vision insurance, paid time off and retirement fund.
