POSITION SUMMARY:

The Professional Training & Systems Project Manager (PTSPM) for Professional Education and Training is primarily responsible for the administrative and technical support of all virtual and in-person professional education and training opportunities of the Get Real and Professional Training Institute, in collaboration with the ASPIRE Center for Sexual and Reproductive Health. This includes coordinating all logistics for PPLM’s vast array of virtual and in-person webinars, half-day, full-day, and multi-day professional education opportunities, including expanding marketing efforts for all professional education offerings. The PTSPM is responsible for managing all systems and data for the Get Real and Professional Training Institute, including serving as website administrator of getrealeducation.org and its accompanying platforms – including Get Real for Parents, serving as a super user of both the CRM and LMS, and communicating with PPLM’s publishing and website partners and vendors on product, content, and related customer logistics. The Professional Training & Systems Project Manager will support the master trainer(s) in logistical and/or content-based co-facilitation of professional education offerings such as Get Real TOEs and TOTs, the Sexuality Education Cornerstone Seminar (SECS), and other trainings on a variety of sexual and reproductive health topics when requested.

Compensation: $28.87/hr

TRAINING LOGISTICS & ADMINISTRATION RESPONSIBILITIES

  • Manage registration and payment processes for all professional trainings through EveryAction and/or the CRM, in collaboration with ASPIRE Center administrative assistant.
  • Manage logistics of all in-person and virtual training coordination, both internal and external, including, but not limited to: scheduling trainers, space reservation (including physical and virtual space), management and set up, AV, food and beverage, shipment of materials, name tags, sign in sheets, evaluations, certificates, CEUs, training folders, PowerPoint presentations, staff travel and accommodations, expense reports, and communication with both trainers and trainees.
  • Manage technology for virtual trainings using video conferencing platforms, third-party tools, and other educational technology tools such as Flippity, EDPuzzle, Mentimeter, etc.
  • Responsible for managing the technology during virtual trainings lasting between one to seven hours at a time and occurring between 1-3 times per week during the training season.
  • Communicate effectively with Professional Education team during coordinating and follow up of trainings.
  • Provide logistical and/or content-based co-facilitation of all professional education offerings.
  • Co-create new sections for existing trainings and develop new subjects and training designs for webinar and half-day offerings, as needed.
  • Co-facilitate online course and other training offerings, as needed.
  • Contribute to the growth and development of training designs, skills, materials, and offerings.
  • Uphold and demonstrate research-based training designs and facilitation best practices.
  • Supervise intern, as needed.
  • Research and maintain compliance with CEU partners by submitting applications as needed.
  • Provide technical assistance to trainers and training events.
  • Document training and workflow processes for programmatic transparency.
  • Adhere to PPLM customer service standards when representing PPLM; provide an environment that is clean, comfortable, and well-maintained; communicate effectively to positively impact all customer/community interactions; value, respect, and understand customer needs; meet customer/community needs.
DATA & SYSTEMS RESPONSIBILITIES
  • Manage online learning opportunities such as webinars and online course registration, serving as administrator for the Online Course (including but not limited to course creation, trainer space creation, user enrollment, course deletion, and managing content).
  • Serve as Get Real website administrator, including but not limited to: trouble-shooting login issues, creating all gre.org accounts, managing access for all users, uploading all content (updating documents, rearranging curriculum, creating new pages), ensuring information is up to date and accurate, managing all communication with website users and vendors.
  • Contribute to and maintain Educator Resources content on getrealeducation.org including but not limited to: writing and posting blog, discussion forum, FAQs, videos, webinars, and updated information.
  • Manage updates for training content on pplm.org website.
  • Update, distribute, collect, input, and analyze all training evaluations via Survey Monkey and/or the CRM.
  • Track and report on trainings, participants, and data in CRM (Dynamics).
  • Contribute to implementation, training, and become super user of new CRM.
  • Serve as an administrator of Dynamics 365 (CRM) for the Education, Learning and Engagement department, in collaboration with the Project and Systems Manager.
  • Contribute to selection, implementation, training, and become super user for new LMS.
  • ·Contribute to data administration, consolidation, and reporting for grantors and budgeting, as requested.
  • ·Serve as EveryAction Affiliate Online Communications Manager for PPLM, working closely with the Digital Fundraising and Supporter Engagement team at PPFA to support the ELE department and PPLM at large in creating high-performing external communications and online forms in EveryAction.
OTHER DUTIES AND RESPONSIBILITIES:
  • Participation in PPLM’s efforts to achieve goals for productivity.
  • Remain up-to-date on sexual and reproductive health and sexuality education information.
  • Other tasks and responsibilities as needed.
  • Occasional evening or early morning hours.
  • Occasional travel to training sites when necessary. 
QUALIFICATIONS
  • B.A/B.S preferred
  • 2-3 years’ experience in training and administrative coordination
  • Website, database, and online learning management experience, required
  • Fluency in virtual engagement platforms: Microsoft Teams, Zoom, Skype, BlueJeans, etc, required
  • Familiarity with, Moodle, Drupal, EveryAction, Microsoft Dynamics, Confluence, ReqLogic, PowerBI, Survey Monkey, Google Analytics, Canva, Piktochart, Adobe (Acrobat, Photoshop) a plus
  • Skilled with MS Office (Word, Excel, Access, Outlook, PowerPoint, Publisher, Visio)
  • Proven writing ability, preferably in a marketing environment
  • Expert communicator, strong oral and written communications skills
  • Experience with program recruitment preferred 
  • Creative thinker
  • Experience with brand building 
  • Superior organizational skills including detail-orientation and the ability to keep track of follow up items
  • Excels at individual time management and initiative, as well as robust team engagement
  • Knowledge of sexual health, preferred
  • Experience with adult education and training, preferred
  • Experience in and knowledge of sexual health and reproductive health and sexuality education, preferred 
  • Strong public speaking and training facilitation skills, preferred
  • Demonstrated ability to juggle multiple projects, priorities, and deadlines in a fast-paced environment
  • “Can do” attitude, nimble, positive, problem-solver with a commitment to customer service for internal and external audiences
  • Commitment to team orientation and willingness to participate in ongoing feedback with colleagues
  • Spanish language a plus
  • Demonstrated ability to work with people of different races, ethnicities, sexual and gender identities and expressions, ages, abilities and experiences.
