About the role

We are seeking a highly organized and creative Independent Special Event Planner to join our team on a contract basis. As an Independent Special Event Planner, you will be responsible for conceptualizing, planning, and executing memorable social and corporate events for our clients. The ideal candidate will have exceptional attention to detail, strong communication skills, and a passion for delivering outstanding experiences.

What you'll do

  • Client Consultation: Meet with clients to understand their event objectives, preferences, and budget constraints. Offer professional advice and creative input to enhance the event experience.
  • Event Conceptualization: Develop unique and innovative event concepts tailored to each client's specific needs and objectives. Present comprehensive event proposals, including themes, décor, entertainment, and logistics.
  • Budget Management: Create detailed event budgets based on client requirements and maintain financial records throughout the planning process. Source cost-effective solutions without compromising quality.
  • Vendor Coordination: Identify and negotiate contracts with vendors, including venues, caterers, florists, entertainment providers, and audiovisual technicians. Ensure all vendors deliver services according to agreed-upon terms and timelines.
  • Logistics Planning: Oversee all logistical aspects of event planning, including but not limited to venue selection, floor plans, seating arrangements, transportation, accommodation, and equipment rentals.
  • Timeline Management: Develop comprehensive event timelines and production schedules. Coordinate with vendors and internal team members to ensure seamless execution of all event components.
  • On-Site Management: Provide on-site coordination and supervision during events to ensure everything runs smoothly according to plan. Address any issues or emergencies that may arise promptly and professionally.
  • Client Communication: Maintain regular communication with clients throughout the planning process, providing updates, gathering feedback, and addressing any concerns or questions promptly.
  • Post-Event Evaluation: Conduct post-event evaluations to gather feedback from clients and attendees. Identify areas for improvement and implement lessons learned in future event planning endeavors.

Qualifications

  • Proven experience as a special event planner, with a strong portfolio showcasing successful social and corporate events.
  • Excellent organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Exceptional communication and interpersonal abilities, with a customer-centric approach to client service.
  • Creative flair and attention to detail, with a passion for delivering memorable event experiences.
  • Strong negotiation skills and the ability to build and maintain relationships with vendors and clients.
  • Proficiency in event planning software and Microsoft Office suite.
  • Flexibility to work evenings, weekends, and irregular hours as required by event schedules.
  • Certification in event planning or related field is a plus.
Note: This is a contract position offering flexibility in scheduling and workload. The Independent Special Event Planner will work remotely and on-site as required by event assignments. Compensation will be negotiated based on experience and event scope.
