WHAT YOU'LL DO

Under the administrative supervision of the Director, and in accordance with program policy, goals and purposes, the Assistant Director helps keep the facility safe and secure, establish and train staff to program standards, as well as training and coaching program staff. The Assistant Director is responsible for implementation of program operation, policy and procedures. The Assistant Director is responsible for supervising and providing high-quality leadership as needed to ensure the integrity of the program, safety of the residents, and in support of the employees. The Assistant Director is responsible for all office management of the facility.

This position supervises managers and supervisors.

PRIMARY/ESSENTIAL DUTIES AND RESPONSIBILITIES:

Office Management

  • In collaboration with the Program Director, assist in the recruitment, orientation, training, and evaluation of employees.
  • Ensures all appropriate program documentation is completed and on-site as required by WAC including personnel.
  • Assist in preparing for and responding to audits, as well as monitoring completion of monthly internal audits.
  • Ensure that the day-to-day operations of the facility required by the agency and funders are completed in a timely, professional manner, to include but not limited to payroll, all on-sire HR functions and fiscal responsibilities, all billing for the facility as well as compiling and maintaining all client fiscal records, client banking, and monthly reporting to include Target entry.

Program Oversight

  • Assist Program Director in supervision and monitoring the delivery of all contracted services.
  • Collaborate with the Program Director to assess opportunities and develop strategies for business development and expansion.
  • Collaborate with the Program Director to initiate effective solutions to program and operational productivity and concerns.
  • Meet regularly with staff to define training needs, facilitate all program staff meetings by securing necessary resources and coordinating a yearly training calendar.
  • Serves as on-call to delineate the process program staff are to follow in order to seek support for any questions related to the facility policy and procedures/best practices, to give notice to staff after-hours, to seek assistance in dealing with staff related issues, to seek guidance in a problem solve or trouble shoot situation, to provide coverage as an emergency measure, as well as to ensure that the program is in ratio according to contract.

Service Delivery

  • May act as the intake coordinator for the program to include screening all incoming applications and setting and maintaining dates for admission as well as handling all incoming phone inquiries to the program.
  • Strives for continuous quality improvement by maintaining a quality assurance system that tracks identified unit performance indicators and the completion of, including but not limited to group logs, food logs, logbook, medication log, fire drill reports, completion of care plans, client files and documented resources.
  • Monitors and/or investigates all unit-related accident/incident reports.
  • Ensures that all daily living activities of residents as appropriate.
  • Monitors physical surroundings and the mental and emotional well-being of staff and residents, recognize burn out and power struggles.
  • Answer program phones.

Fiscal Responsibility

  • Maintain all database management.
  • Assist the Program Director in the preparation of the yearly budget and maintain as such.
  • Maintain, reconcile and disperse petty cash and client petty cash.
  • Maintain all office supplies and equipment and serve as the contact for the IT Department.
  • Verify all clients’ funding through the Provider One System (if applicable).

Other Responsibilities

  • Provides direct supervision of the RTS Manager, Administrative Supervisor and Health & Resource Coordinator Manager.
  • Serve as a resource for all employees regarding policy, procedure or documentation questions.
  • Maintain on-site records.
  • Collaborate with the Program Director to maintain the focus of the unit and ensure that the program services are aligned with the Pioneer Human Services direction.
  • Collaborate with the Program Director to encourage excellence and facilitate quality improvement.
  • Assist in the preparation and maintaining of staff schedules (writes schedules in locations where supervisor position doesn’t)
  • Supervises assigned staff and assists in other aspects of personnel management as directed.
  • Serves as a member of the unit team.
  • Observes problems and offers suggestions for improvement, supports co-workers, and assists staff with employment-related issues.
  • Assists with the development of reports and maintaining records as directed.
  • Attends Treatment Team and other staff meetings and actively participates in planning, coordinating and communication of all types, which will contribute to the delivery of quality professional services.
  • Represent program at community meetings and other appropriate functions as assigned by the Program Director.
  • May be required to assume responsibilities or duties within the unit not specifically delineated in this job description for short periods of time or on an infrequent basis.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Utilizes critical thinking and judgment to identify to ensure task completion.
  • Ability to speak clearly and persuasively and engage in active listening.
  • High level of written/verbal communication, organization, customer services skills, efficiency with independent task management and ability to show attention to detail.
  • Proficiency in Microsoft Office Suite, Outlook, Electronic Health Record, Quick Mar (medication system), and Internet browser navigation
  • Duties require the use of standard office furniture and equipment (i.e. desk, filing cabinet, laptop computer, printer, telephone, cellular phone, fax machine, copy machine, etc.)
  • Willingness to work with clients who have both substance use and mental health disorders; ability to show compassion and professionalism with residents who may be angry, depressed, distraught, frustrated, suicidal, and/or under the influence of drugs and/or alcohol.
  • Willingness to work with individuals who have criminal histories and/or identified criminogenic risk factors

QUALIFICATIONS:REQUIRED

  • Associate of Arts degree in Healthcare or business-related field.
  • Two years of acceptable supervisory and management experience in the human services or related field.
  • Active SUDP credential in good standing.
  • 1 year of experience working with individuals with behavioral health conditions.
  • Must maintain current certificates and permits required for position.

PREFERRED/DESIRABLE

  • BA degree in Healthcare or business related field
  • Dually credentialed
