As our Medical Records Specialist you will be responsible for the handling of medical record orders, sending and receiving incoming electronic faxes, scanning documents, and uploading files into the electronic medical records system, KanTime. You will be onsite and part of our amazing Central Operations Team located at our Home Office
in Oldsmar, FL!

Education and/or Experience:
  • Minimum 6 months of medical records experience in a clinic, hospital or home health setting.
  • Must have previous experience working with an EMR system; and the details necessary to keep the data valid and updated.
  • High school diploma or equivalent.
  • Advanced typing, computer skills and possess the ability to multitask across multiple platforms while keeping the integrity of the data.
  • Excel experience to include basic data presentation and pivot tables
  • Ability to remain productive when faced with high workloads and deadlines.
  • Able to follow detailed directions and respectfully request clarification when needed.
  • Identifying needs and opportunities and present them to the supervisor with recommended solutions.
  • Working independently with minimal supervision.
  • Preparing and analyzing appropriate reports and other business correspondence.
  • Maintaining a positive outlook at all times.
  • Communicating in a clear, precise, and hospitable manner while fostering healthy two - way communication
  • Addressing customer concerns in a courteous and timely manner.
  • Strong organizational and time management skills
  • Use of relevant computer systems and a desire to learn and grow with system changes.

As part of our dynamic team, you will:
  • Process unsigned orders and 485s.
  • Manage the fax queues, indexing and mapping all incoming documents received.
  • Index signed orders and 485s which includes verifying Physician’s signature and date stamp on documents. All documents should be scanned, attached and indexed within 24 hours of receipt.
  • Follow up on outstanding orders daily which includes prioritizing by oldest aging order.
  • Manage orders via the physician portal.
  • Manage received faxes and re-route to the appropriate teams as necessary.
  • Follow up on failed faxes including but not limited to calling the physician office to request updated contact details.
  • Utilize appropriate systems to contact physician offices for follow up.
  • Communicates professionally with all departments to resolve outstanding orders
  • Meet productivity goals as assigned by the Director of Orders.
  • Responds to all inquiries with a resolution to concerns and or discrepancies in a timely manner.
  • Assists in the training of all new medical records team members.
  • Complies with HIPAA regulations on all accounts.
