Are you a detail-oriented individual with a passion for real estate and project management? Pinnacle Partners is seeking a Real Estate Project Coordinator to join our dynamic team. As a Real Estate Project Coordinator, you will play a vital role in overseeing a large residential real estate portfolio, communicating with our property management companies and being the point of contact on some smaller commercial buildings. If you are organized, proactive, able to juggle a busy schedule, want to increase your real estate investment knowledge and are ready to take on diverse responsibilities, we want to hear from you!

Compensation:

  • Salary Range - $45,000 - $55,000
  • Vacation, Paid Time Off, Extra annual holidays, Health Insurance

Compensation:

$45,000 - $55,000

Responsibilities:

Projects - Residential:

  • Manage property repair estimate approval through property management companies. 
  • Manage a team member who coordinates the residential preventative maintenance. 
  • Monitor leases coming up for renewal and communicate with property management companies.
  • Assist in property remodeling and renovation selections.
  • Organize property photos for reference.

Projects - Commercial:

  • Oversee preventative maintenance on commercial buildings and communicate with tenants.
  • Monitor commercial leases nearing renewal.
  • Coordinate sprinkler, fire alarm, and elevator services.
  • Assist in commercial property remodeling and construction selections.
  • Organize property photos for reference.

Managing Information:

  • Document all property-related work using Google Sheets for efficient record-keeping.

Insurance Management:

  • Monitor insurance renewal dates for all properties and send invoices to the accounting department each month.
  • Shop for insurance pricing and coverages.

Supporting Accounting for multiple real estate entities:

  • Ensure property repair invoices are communicated to accounting and confirm their timely payment.
  • Track remodel costs and repair cost segregations on spreadsheets.
  • Notify accounting of lease rent increases and lease updates.
  • Update the monthly Cash Flow statement for investment property entities.
  • File paid invoices for investment properties and the Pinnacle Partners Group (PPG) Accountant.

Emails & Quick Responses:

  • Monitor and respond to emails in a timely manner during business hours.
  • Emergency availability after hours for small commercial buildings (might happen once or twice a year).

Closings Contract To Close:

  • Facilitate the process of closing on new real estate purchases.

General Tasks:

  • Handle employee 5, 10, and 15-year anniversary gifts and Recognition certificates.
  • Manage gifts for leadership - birthdays, Thanksgiving.
  • Support office projects, including the staff holiday gifts.
  • Assist in charitable projects with Kares 4 Kids.

Annual Tasks:

  • Box and organize files. Shred when possible.
  • Create yearly binders for the PPG Accountant and new tabs for the Financial Book.
  • Complete annual LLC renewals for all entities.
Qualifications:
  • Knowledge of real estate is needed, and an understanding of property management is a plus.
  • Strong proficiency in using Google Drive, particularly Sheets, and other relevant software.
  • Strong organizational skills with exceptional attention to detail.
  • This position is great for someone who loves to stay busy, likes juggling different projects, and wants to grow.
  • Ability to manage multiple tasks, multiple entities, and deadlines effectively.
  • Excellent communication and problem-solving abilities.
  • Willingness to be available after hours for commercial building emergencies (might happen once or twice a year).
  • Proactive and adaptable with a can-do attitude.
