**Job Title/Position:** Medical Records Specialist

**Reports To:** Director of Revenue Cycle

**JOB DESCRIPTION SUMARY**

The Medical Records Specialist is responsible for the handling of medical record orders, sending and receiving incoming electronic faxes, scanning documents, and uploading files into the electronic medical records system, KanTime.

**ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES**

1. Process unsigned orders and 485s

2. Index signed orders and 485s which includes verifying Physicians signature and date stamp on documents. All documents should be scanned, attached and indexed within 24 hours of receipt.

3. Follow up on outstanding orders daily which includes prioritizing by oldest aging order.

4. Start the escalation process for all orders aging >14 days

5. Manage orders via the physician portal

6. Manage received faxes and re-route to the appropriate teams as necessary.

7. Follow up on failed faxes including but not limited to: calling the physician office to request updated contact details.

8. Maintain accurate data in physicians profile

9. Verify Physicians are PECOS enrolled prior to adding them into the electronic medical record.

10. Utilize appropriate systems to contact physician offices for follow up.

11. Communicates professionally with all departments to resolve outstanding orders

12. Provide reports weekly to be reviewed in Revenue Cycle Committee meetings.

13. Process medical records request timely and in accordance with Pinnacle Home Care Procedures.

14. Meet productivity goals as assigned by the Director of Revenue Cycle.

15. Responds to all inquiries with a resolution to concerns and or discrepancies in a timely manner.

16. Assists in the training of all new medical records team members.

17. Complies with HIPAA regulations on all accounts.

18. Follows Pinnacle Home Cares Attendance Policy.

**SKILLS REQUIRED**

1. Minimum 6 months of medical records experience in a clinic, hospital or home health setting.

2. Must have previous experience working with an EMR system; and the details necessary to keep the data valid and updated.

3. Must possess a high school diploma or equivalent.

4. Advanced typing, computer skills and possess the ability to multi task across multiple platforms while keeping the integrity of the data.

5. Excel experience to include basic data presentation and pivot tables

6. Ability to remain productive when faced with high workloads and deadlines.

7. Able to follow detailed directions and respectfully request clarification when needed.

8. Identifying needs and opportunities and present them to the supervisor with recommended solutions.

9. Working independently with minimal supervision.

10. Preparing and analyzing appropriate reports and other business correspondence.

11. Maintaining a positive outlook at all times.

12. Communicating in a clear, precise, and hospitable manner while fostering healthy two - way communication

13. Addressing customer concerns in a courteous and timely manner.

14. Strong organizational and time management skills

15. Use of relevant computer systems and a desire to learn and grow with system changes.
