Title: Event Sales & Program Coordinator

Hourly Wage: $45,000 tiered commission based on established goals

Start Date: As soon as possible

Qualifications:

• Exceptional oral and written communication and project management skills for dealing proactively and consistently with clients and staff
• Excellent customer service to identity client needs and ensure guest satisfaction
• Strong organizational, planning, and time management skills to coordinate the actions of multiple parties
• Multitasking ability necessary to move from one task to another at a fast pace
• Computer skills for using events management software, word processors, spreadsheets and e-mail
• Proactive networking skills to build reliable relationships with vendors and suppliers and attract new customers
• Ability to negotiate on behalf of the company in order to book an event

Responsibilities:

• Manage the initial event sales process, including booking events, entering data into a event software system, and collecting deposits from clients
• Respond to large group and private event initial inquiries within 24-48 hours at both Pilot Project locations
• Schedule and execute venue tours and follow-up with client post tour to book
• Manage event set-up for large events
• Record all information discussed with client in order to efficiently communicate with event managers/detailers and relay all pertinent information
• Book large group reservations on Tock event software
• Follow-up with event inquiries that didn’t respond to our initial quote or pricing decks in order to negotiate or collect feedback
• Provide feedback and monthly sales outcome reports to Manager
• Propose ideas to improve standard operating procedures for event booking
• Research market, identify event opportunities and generate interest
• Source new business through local outreach and cold calling ensuring quarterly event goals are met
• Aid in the growth and expansion of Pilot Project’s overall hospitality business
