POSITION DESCRIPTION POSITION TITLE: Receiving Lead ACCOUNTABLE TO: Store Director _______________________________________________________________________ PRIMARY OBJECTIVE To perform the primary responsibility of efficient and accurate checking of all grocery vendor deliveries and to perform other functions as required in produce, point-ofsale, and receiving in an efficient manner within Company policy to ensure that the shift contributes to the financial best interests of the store. DUTIES AND RESPONSIBILITIES The essential duties and responsibilities of this position include, but are not limited to the following A. General 1. Provides friendly and efficient customer service by demonstrating sincerity, 2. 2. Throughout the store, greets customers in a genuine and friendly manner. Learns customer names and uses them respectfully in greetings. 3. Assists customers throughout the store by: · Escorting them to products they are looking for · Loading or unloading heavy items and assisting with products that are out of reach · Offering product and/or recipe suggestions and recommendations · Responding to customers’ questions and requests in a timely manner · Treating them as the most important people in the store 4. Sincerely thanks customers for their business and choosing our store. 5. Demonstrates teamwork to ensure customer satisfaction and a pleasant working and shopping environment. 6. Observe all store rules and Company policies 7. Maintain a neat, well-groomed personal appearance at all times and observe Company dress regulations 8. Observe shift operating hours at all times as scheduled or assigned by Store Director 9. Adhere to all local, state and federal health and civil code regulations Responsible for enforcing store operating hours for receiving operations according to Company policy Responsible for controlling the flow of vendor traffic through receiving doors 10. Receive all merchandise and process all credits according to Company procedures 11. Check and verify all grocery receiving to ensure that the items listed on Receiving Lead/Page 2 vendor invoices are actually delivered and meet store policy for quality, count and condition 12. Verify that all vendor invoices include legible pricing and are properly extended 13. Flag attention to any discrepancies and shortages on invoice documents and obtain signature of delivery vendor for confirmation of such shortages according to Company procedure 14. Communicate promptly to the Store Director any problems or situations which may affect the integrity of the store or of the vendor 15. Perform accurate posting of all invoice documents to the receiving log and place all signed invoices in designated secure area 16. Take stock to applicable storage and/or work load areas 17. Handle damaged and spoiled products according to Company policy and assist in controlling the level of damaged goods 18. Be knowledgeable in and both able and prepared to perform all duties of an experienced grocery clerk’s position 19. Comply with safety policies and procedures B. Bookkeeping 1. Record all shift hours worked on time card according to Company policy and verify by signature the accuracy of all time worked 2. Be familiar with invoice documents so as to properly and accurately identify item description, sizes and prices 3. Maintain log of any irregularities or discrepancies encountered between invoice and receiving amounts including the method employed by vendor to resolve the discrepancy 4. Record invoice documents accurately on the receiving log and place signed invoice in the designated secured area 5. Accurately record shortages and damaged shipments on appropriate forms in accordance with Company policy 6. Process all credits in accordance with standard operating procedure C. Merchandising 1. Keep perishable merchandise rotated in accordance with store policy and product code dates, and remove all out-of-code merchandise from active storage areas for appropriate credit/return-to-vendor or for disposal, as applicable, according to Company policy 2. Follow approved procedures for receiving product to ensure quality D. Maintenance 1. Maintain general housekeeping and sanitation standards in compliance with store policy and state and local health regulations on a regular basis 2. Keep all warehouse, receiving, storage and spoils areas clean and clear 3. Maintain required clearances in front of all doors, electrical panels, and Receiving Lead/Page 3 4. Sweep warehouse floors as needed 5. Assist in responding promptly to emergencies or potential safety hazards such as spills and broken glass or plastic containers that contain liquid products 6. Check refrigeration equipment for proper performance a minimum of one time per shift 7. Use and maintain equipment in good working order 8. Immediately advise Store Director of any maintenance or equipment problems E. Security 1. Control the flow of all traffic through receiving doors and have primary responsibility for security of the receiving area 2. Observe security standards by staying alert and being aware of both vendor actions and behavior and the unauthorized presence of customers or sales representatives in the receiving and warehouse area; report to Store Director or security any abnormal behavior F. Personnel 1. Maintain good communications with supervisors and co-workers throughout the organization 2. Notify Store Director of personnel situations or policy violations having an adverse effect on store operating performance or of situations requiring disciplinary action or that may potentially require such action Requirements and Conditions (Essential Functions) To perform this job successfully, an individual must be able to perform all of the duties described in the preceding in an efficient and competent manner. Must be able to calculate figures and amounts such as discounts, gross margins, mark-up, percentages, ratios, ad loss, shrinkage, and to apply basic concepts of algebra 2. Ability to verify vendor invoice charges and counts, price credits, and complete and submit required records and reports including inventory and receiving reports Education and/or Experience -High school education (or concurrent enrollment in an educational institution) preferred but not required Language Skills Receiving Lead/ Page 4 1. Ability to hear, speak and understand the spoken word in order to respond promptly to pages for assistance, to accommodate verbal requests from customers for information or assistance, to answer telephones, and be able to communicate effectively with associates and customers 2. Ability to read, write, analyze, interpret and understand the English language with sufficient proficiency in order to read and understand: a) instructions for operating electronic equipment and tools b) Company handbooks, policies and procedures and c) invoices, credit memos, receiving logs, and other delivery documentation d) other written job-related documents including postings on Company bulletin boards Reasoning Ability 1. Ability to solve practical problems 2. Ability to interpret a variety of instructions furnished in diagram, oral, schedule or written forms Other Skills or Requirements 1. Be fully knowledgeable and thoroughly familiar with the nature and duties of every staff position in the department including procedures, policies and operations 2. Be able to perform all duties and responsibilities in an efficient and satisfactory manner that meets the minimum standards for productivity, accuracy, cleanliness, harmony and safety established at the employer’s individual site Physical Requirements The physical demands described below are representative of those that must be met by an associate to successfully perform the essential functions of this job. While performing the duties of this job, the associate is regularly required to sit, stand, and use the hands to handle, finger or feel objects, tools or controls 2. The associate must frequently walk, talk and hear, and reach with the hands and arms; occasionally, the associate must crouch and kneel 3. The associate must occasionally exert or lift up to 100 lbs. moving pallets, carrying cartons of milk and drinking water, and bulk/industrial containers of food products such as rice, and frequently exert or lift moderate amounts of weight 4. Successful performance requires specific vision abilities that include close vision and the ability to adjust focus including sufficient visual acuity to check and verify invoices and other written documents Receiving Lead/Page 5 5. Be able to climb a ladder to retrieve inaccessible items for customers located above freezer cases or from stockrooms and other storage areas 6. Be able to sweep and mop floors, dust and face shelves, and lift and carry out trash containers 7. Have sufficient physical mobility or agility to be able to respond quickly to fire or other emergencies such as cleanup requests (due to accidental spills or breakage of glass or plastic containers having liquid contents), shoplifting and other security assistance requests, customer accidents, etc. 8. Be able to stock coolers and shelves and endure working under temperature extremes in refrigerated storage areas up to 20 minutes at a time 9. Be able to work with fresh fruits, vegetables, house plants and flowers without negative allergic consequences 10. Be able to tolerate moderate amounts of dust and chemical fumes from common household cleaning agents such as ammonia during routine housekeeping duties 11. Have sufficient memory retention skills to monitor and keep track of vendors, product counts, invoices, shortages, and to record discrepancies immediately on receiving logs and other documents Work Environment The work environment conditions described below are representative of those an associate encounters while performing the essential functions of this job. It may be possible to modify some circumstances to accommodate individuals with disabilities 1. The work environment includes occasional exposure to, in, or around refrigerated storage areas and relatively damp and humid conditions 2. Typically, the noise level in the work environment is moderate; however, on occasion, it can be somewhat noisy when power tools and equipment are in use 3. Access to break rooms, offices and associate restrooms may require ascending/descending a flight of stairs 4.
