Phoenix Elementary School District 1 is Hiring a School Office Manager- Shaw Montessori Near Phoenix, AZ

Salary: $19.04 to $20.70 per hour, depending on experience.

This is a full-time, 12-month position and is eligible for health benefits.

JOB SUMMARY:

This responsible position requires the performance of a variety of complex clerical tasks and customer service tasks in the school front office. Duties include supervision of clerical staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Additional duties may be assigned.

  • Responsible for maintaining data entered into the student information software.
  • Ensures the integrity of student data and all information related to ADE’s SAIS system.
  • Responsible for uploads of student information to the ADE.
  • Understands ADE reports related to SAIS information and makes all necessary corrections to data related to ADM, ELL, SPED, etc.
  • Participates in all District training related to the student information software, SAIS, ADM, ELL, SPED, Time and Attendance, etc.
  • Edits time and attendance information for school employees and ensures the accuracy of information entered into the time and attendance software for the school.
  • Effectively utilizes district technologies appropriate to the position and assumes responsibility for attending district training needed to successfully perform designated responsibilities as directed by supervisor.
  • Performs secretarial duties for the principal as required.
  • Maintains master and principal’s calendar.
  • Records notes by shorthand or abbreviated writing from oral dictation. Transcribes and types correspondence, reports, etc., from rough draft/dictation equipment/notes.
  • Establishes effective office procedures that enhance the efficiency of the school office.
  • Prepares and/or delegates various reports and communication for the unit, as directed.
    • Routinely and effectively schedules job assignments for subordinates and self for efficient office management.
    • Keeps accurate records of expenditures for the unit, and maintains time slips.
    • Greets visitors, answers phones, responds to inquiries, and accurately routes messages, etc.
    • Accurately prepares state and district reports from raw data, which includes generating charts and graphs on the computer.
    • Keeps administrator informed.
    • Prepares accurate written communications, including letters, newsletters, and notices.
    • Deals extensively with staff and community.
    • Accepts phone calls answers questions and accurately routes messages.

SUPERVISORY RESPONSIBILITIES:

Supervises clerical staff.

QUALIFICATIONS AND REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

  • High School diploma or GED required.
  • Formal secretarial training is preferred.
  • Minimum 3 years experience in general secretarial or clerical work.
  • School office experience preferred.

LANGUAGE SKILLS:

  • Ability to write reports business correspondence, etc.
  • Ability to effectively present information and respond to questions from administrators, staff, and the general public.

MATHEMATICAL SKILLS:

  • Ability to work with mathematical concepts such as probability and statistical inference.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Proficient with the District’s student information software.
  • Proficient with the District’s time and attendance software.
  • Understands the ADE’s SAIS program and has a working knowledge of all ADE reports related to ADM, ELL, SPED, etc.
  • Ability to interface effectively with other departments, school personnel, other maintenance staff, and business contacts from outside of the District.
  • Possesses and successfully uses the following skills:
  • Possesses excellent oral and written communication skills and interpersonal relationship skills.
  • Bilingual (Spanish/English) preferred. Ability to read, write and speak Spanish; will be writing and translating.
  • Effective telephone technique.
  • Excellent computer and typing skills are required. Ability to operate general office equipment (computer, copy machine, and other business machines).
  • Proficiency with Software, MS Office, SASI.
  • Knowledge of department organization, methods, standards, and practices. Standard business practices/methods and procedures.
  • Maintains confidentiality, and possesses unquestionable integrity.
  • Ability to work independently with minimal supervision.
  • Working knowledge of office-related computer programs, including MS Word, Excel, Recordkeeping, and Desktop Publishing.
  • Ability to understand and carry out complex oral and written instructions.
  • Ability to communicate effectively, orally, and in writing.
  • Records note by shorthand or abbreviated writing from oral dictation; transcribes and types correspondence, reports, etc., from rough draft/dictation equipment/notes (65 wpm).
  • Can prioritize multiple tasks, work under stress, meet deadlines and take direction.
  • Can work with frequent interruptions.
  • Ability to establish and maintain an efficient filing system.
  • Ability to perform general operations, which require the exercise of judgment, based upon knowledge gained through experience.
  • Ability to perform duties with awareness of all district requirements and School Board Policies.

REASONING ABILITY:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES:

  • Ability to accurately perform assigned tasks.
