Position Overview

Reporting to the Guest Experience Manager, the Guest Experience Sales Coordinator manages the Museum’s Photography Program, is the primary contact for adult group tour booking, and is responsible for processing ticketing tasks within the Group Sales Program workflow. This role processes general admission, event, and program ticket sales by phone, and provides data reporting support to the Guest Experience Manager. This position provides both back-of-house and front-of-house ticketing and customer service support to the Guest Experience Team, working admissions desk shifts as assigned. The Guest Experience Sales Coordinator demonstrates exceptional customer service and the highest standards of integrity and professionalism when interacting with Philbrook Members and the public.

Key Essential Responsibilities:

Photography Program: 

  • Develops and oversees Philbrook’s photography program: scheduling sessions, responding to inquiries, and recruiting and retaining Photography Members 
  • Enhances and expands the program to meet and exceed financial goals; provides in-person support, as needed, for onsite location scouting and photography shoots

Group Sales: 

  • Works closely with the Guest Experience and Learning and Audience Engagement teams
  • Responds to adult group tour inquiries via phone and email
  • Processes calendaring and ticketing tasks for both adult group tours and educational tours

Guest Experience Support: 

  • Provides direct back-of-house ticketing and customer service support to the Guest Experience Team by answering phone calls, responding to email inquiries, and processing ticket sales by phone
  • Provides occasional direct front-of-house support to the Guest Experience Team working the museum’s admissions desk during general operating hours and special event
  • Delivers exceptional customer service and demonstrates the highest standards of integrity and professionalism when interacting with Philbrook Members and the public
  • Acts as a voice and face of Philbrook in customer service, handling complaints through multiple channels and representing the guest perspective in internal conversations
  • Attend Museum meetings to stay informed on initiatives and information

Reporting: 

  • Provides ticket sales and attendance reporting support to the Guest Experience by producing routine and ad hoc reports as assigned

Must maintain prompt and reliable attendance in order to successfully perform the duties of the job.

Requirements

Equivalent Education/Experience

  • High School Diploma or equivalent
  • At least 2 years customer service experience required
  • Previous non-profit experience in public facing position with knowledge of Tessitura or another fundraising database is preferred

Required Hours/Availability

Monday through Friday

9am - 5pm (with occasional evenings and weekends) 

35 hour work-week.
