Purpose

The Receiving and Sales Associate will be responsible for receiving merchandise, verifying purchase orders, and submitting invoices for payment. The ideal candidate will also work in the Gift Shop and Gallery assisting guests with merchandise selections and sales, providing best-in-class hospitality to our guests.

Responsibilities

  • Receive merchandise and verify purchase orders. Match purchase orders and receiving paperwork to invoice. Make appropriate changes to reflect correct pricing. Enter information and receive merchandise in CounterPoint.

  • Contact vendors concerning discrepancies in shipments and/or damaged items. Request credit memos or adjusted invoices. Update inventory information in CounterPoint.

  • Record all purchase and payment release date activity in purchase order log. Maintain and update purchase order log as a reference point for monthly budget reconciliation.

  • Maintain electronic copies of invoices by vendor on W drive; maintain vendor log with addresses, phone numbers, and email addresses of contact personnel and local and company representatives.

  • File all paper copies of invoices. Work with Accounting Team to clear vendor statements. Assist in monthly budget reconciliation activities. Assist in development of policies and procedures.

  • Open and close shop and gallery as needed, including some evening and weekend shifts. Assist customers on the sales floor. Perform cashier duties.

  • Other duties as assigned.

Required Qualifications

  • High school diploma or GED

  • At least 3 years of clerical experience

  • At least 1 year of senior office assistant experience

  • Outstanding time management, data entry, and organizational skills with a sharp attention to detail.

  • Friendly demeanor, positive attitude, and ability to provide best-in-class customer service.

  • Excellent written and verbal communication skills.

  • Experience processing accounting and accounts payable transactions.

  • Retail sales and POS/cashier experience.

  • Familiarity with Excel and Microsoft Office suite.

  • Ability to work and be flexible in a fast-paced, changing environment.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Previous UT Austin accounting experience.

  • Previous botanic garden or museum gift shop experience.

Salary Range

$34,320

Working Conditions

  • May work around standard office conditions.

  • Repetitive use of a keyboard at a workstation.

  • May sit or stand for long periods of time.

  • Must be able to lift 30 pounds.

Work Shift

January, February, June, July, August, September, October, first half of November:

  • Monday through Friday (times are TBD)

March, April, May, second half of November, and December:

  • Sunday: 8:30 am - 5:30 pm

  • Monday: 8:30 am - 1:30 pm

  • Tuesday: 3:30 pm - 8:30 pm

  • Wednesday: 11:30 am - 5:30 pm

  • Thursday: 11:30 am - 5:30 pm

  • Friday off

  • Saturday off

Occasional evenings, weekends and holidays will be required for mission-related events.
