Perquimans County School District is Hiring a Receptionist/Secretary (10 Month Position) Near Hertford, NC

Position: Receptionist/Secretary

Reports To: Principal

QUALIFICATIONS:

Graduation from high school with preference given to an associate's degree in secretarial science or office management. Experience with computer operation, bookkeeping, or previous office experience is preferred.

DUTIES AND RESPONSIBILITIES:

  • Performs a variety of technical-clerical work preparing and maintaining a variety of computer databases (SIS) pertaining to student attendance and demographic statistics in an assigned school.
  • Employee is also responsible for troubleshooting errors or other operational problems with computers and peripheral equipment, installing computer program software, and preparing various correspondence and forms.
  • Answer phone calls in a pleasant, informed manner for the purpose of providing information and creating a good image of the school system; operate a multi-line telephone switchboard in the main office; route incoming calls to proper extensions; take and relay messages.
  • Greet visitors to the main office in a pleasant and informed manner; answer routine questions and respond to requests for materials according to established guidelines.
  • Respond to inquiries from staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required.
  • Forward requests for the information to the appropriate individuals.
  • Maintain office equipment and assist individuals with office equipment usage as required.
  • Assist with the mailing and distribution of various documents and communication from the fax machine.
  • Employee receives student applications and reviews for appropriate documentation.
  • Receive, sign for and send special mail via messenger services.
  • Other duties as assigned.

ADDITIONAL JOB FUNCTIONS

  • Carries out other duties as assigned by the principal.
  • Receives training and inservice pertinent to the job function.
  • Utilizes positive human relation skills with staff, students and parents in fulfilling requests for assistance.
  • Performs special projects.
  • Suggests procedures for improved office efficiency.
  • Maintains confidentiality in matters pertaining to the school and students.

MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

  • Physical Requirements: Must be physically able to sit, stand, walk and drive a car. Must be able to lift mail and boxes up to 10 lbs. Must be able to sit at a computer for extended periods of time.
  • Interpersonal Communication: Requires the ability to speak to people to convey or exchange information. Includes giving instructions, assignments or directions to parents, students, and staff.
  • Language Ability: Requires the ability to read and complete simple forms. Requires the ability to prepare time sheets using prescribed format.
  • Reasoning Ability: Requires the ability to apply common sense understanding to carry out instructions furnished in written, oral or diagrammatic form.
  • Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow written and oral instructions. Must be able to communicate effectively and efficiently in standard English.
  • Numerical Aptitude: Requires the ability to utilize mathematical formulas; to add, subtract, multiply and divide.
  • Motor Coordination: Requires the ability to coordinate the eyes and hands to use a keyboard.

  • Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under moderate levels of stress.

  • Physical Communication: Requires the ability to talk, see, and hear. Must be able to communicate via telephone.

KNOWLEDGE, SKILLS AND ABILITIES

  • General knowledge of the standard procedures for running a busy office.
  • Knowledge of the use of standard office equipment such as copiers, calculators, etc.
  • General knowledge of word processing and familiarity with appropriate software.
  • Ability to demonstrate proper telephone etiquette.
  • Ability to establish and maintain effective working relationships with staff, students, parents, and volunteers.
  • Ability to maintain confidentiality.
  • Ability to exercise independent judgment and initiative in completing work assignments.
  • Ability to communicate effectively orally and in writing.
  • Ability to reason, make judgments, and maintain effective working relationship with others in exercising discretion and action in the performance of assigned work.
  • Ability to attend to details necessary to complete forms properly.
  • Working knowledge and ability to use correct grammar, spelling and punctuation.
  • Knowledge of business letter writing and memos.
  • Ability to work with minimal supervision.
