Description

Job Responsibilities

Administrative Support - Provide comprehensive administrative support to the Director and Faculty Director, including drafting correspondence, responding to phone and email inquiries, scheduling meetings, maintaining the filing system, and assisting with purchase orders (POs) and travel reimbursements.

Financial and Business Administration - Handle all purchase orders, honoraria, travel arrangements, and Concur accounting.

Calendar and Event Management - Maintain and coordinate calendars for personnel, exhibition programs, symposia, and gallery-related events.

Oversee gallery rentals and special events and manage office inventory and supplies.

Virtual and Onsite Event Management - Manage virtual programs on the Zoom webinar platform and live streaming of onsite gallery events.

Outreach Coordination - Coordinate school programs, adult, and senior group tours. Schedule and manage meetings for the Student Advisory Board and student docents.

Archive all gallery exhibitions, reviews, and photos.

Exhibition and Visitor Statistics Management - Track exhibition expenses and prepare the annual event calendar and visitor statistics for each exhibition.

Communications and Social Media Management - Support and project manage communications and social media efforts. Aid in the development and dissemination of promotional materials and updates.

Qualifications

Bachelor's Degree in Art History, and 2 to 3 years of experience or equivalent combination of education and experience are required.
