PenFed is hiring a Supervisor, Member Records to work onsite at our San Antonio, Texas service center. The incumbent is responsible for managing all aspects of record imaging which includes conversion of backlog records and go forward records by ensuring scalable processes covering document preparation, classification, sorting, scanning, indexing, quality control and shredding. Ensure that records are stored and purged in accordance with PenFed policies and procedures as well as NCUA and state regulations. 

Responsibilities

  • Manage the daily activities of Member Records processing operation, provide guidance to the team members, establish processing priorities, resolve complex problems, and ensure that department goals are met.
  • Create, approve, and enforce document classification & records policies, and records retention policy.
  • Interact with vendors, contractors, and PenFed personnel on all levels to resolve complex problems and exceptions to policy with delegated authority.
  • Managing personnel which typically include recommendations for hiring, firing, performance evaluations, training, enablement, work allocations and problem resolution.
  • Set operating goals and objectives for the team based on department goals, recommends, implements, and administers methods and procedures to enable the team and monitor and report operations key performance indicators.
  • Keep management informed of department accomplishments and challenges and recommends area of improvements.
  • Maintain accurate records and respond in a timely manner to all retrievals, accessions, and destruction requests for all records according to company record retention policy.
  • Ensures the safety and security of records stored within the department.
  • Prepares daily, weekly, monthly, and annual statistical reports related to department operations.
  • In addition to the duties associated with backlog digital conversion programs, performs duties of all department position including storing, retrieving, and managing digital and paper-based member records, and supporting merger documents as per policies & procedures.
  • Assists in all areas of Member Records including audits and special projects as needed.
  • Ensuring daily processing goals and reporting processing activities.
Qualifications

Equivalent combination of education and experience is considered.

  • Bachelor’s Degree or equivalent is required.
  • Three (3) to four (4) years of experience in records management and document management space and digital document conversion programs required.
  • Excellent computer skills including using enterprise document management repositories and related platforms required. 
  • Expertise in document scanning, preferably Kodak scanners, using & configuring OCR/Capture tools for document indexing required.
  • Experience with document identification, preparation, scanning, indexing, and QA process required.
  • Previous experience in large volume paper document conversion to digital required.
  • Financial Services, Banking or Credit Union industry experience preferred.
  • Excellent verbal and written communication skills with attention to detail.
  • Excellent interpersonal skills preferred.
  • Understanding of document classification and ingestion processes required.
  • Understanding of Financial Services document management processes preferred.

Supervisory Responsibility

Supervising document conversion team at processing centers (Minimum 2/ Maximum 8) 

Licenses and Certifications

  • Certifications in records management preferred.
  • Certification in document imaging preferred.

Work Environment

While performing the duties of this job, the employee is regularly exposed to an indoor office setting with moderate noise.

*Most roles require working in an office setting with moderate noise and the ability to lift 25 pounds.*

Travel

Limited travel to various worksites is required.
