WHO ARE YOU?

PEG, LLC is seeking a self-motivated, team-oriented, and outgoing individual to take on the role of Field Administrator. This position is instrumental in ensuring the smooth and efficient operation of day-to-day field activities. The ideal candidate will be exceptionally detail-oriented, highly organized, and capable of managing multiple projects concurrently while demonstrating independent time management skills.

As one of the initial points of contact, this role plays a pivotal role in shaping positive experiences for both internal and external clients. This individual will set the tone for how stakeholders perceive the company, its services, its employees, and its mission. The qualified candidate should exhibit strong initiative and excellent communication skills to effectively interact with diverse personalities, various career specialties, and management levels.

THE ROLE

Job Location:

This position is based in our main office in Fairfax, VA.

Essential Functions:

  • Serve as the primary point of contact for customer service requests received through the Field Requests Inbox, ensuring prompt resolution of field-related inquiries and monitoring Turn Around Time (TAT) for request closures.
  • Establish and uphold the organizational framework for field operations, encompassing inventory management, supply restocking, and maintenance of field equipment.
  • Procure and manage an inventory of field supplies, internal printing materials, and related resources.
  • Maintain the company’s gas card and toll pass accounts; update as staff fluctuates and assist with weekly/monthly/quarterly audits and reconciliation.
  • Uphold and enforce policies, procedures, and standards governing field operations, regularly evaluating performance against established benchmarks and implementing adjustments as needed.
  • Assist in coordinating company functions, meetings, and events, including managing catering logistics, reserving conference rooms, and procuring necessary supplies.
  • Manage travel arrangements for Field Staff and oversee the administration of the company's rental car/ride share accounts.
  • Provide crucial support in organizing and expediting shipping activities for the Field Operations Department, including the allocation of equipment for new hires and fulfilling ongoing equipment requests.
  • Safeguard confidential information with the highest level of discretion.
  • Execute a range of administrative tasks, encompassing the preparation of presentations, development/updating of Standard Operating Procedures (SOPs), creation/modification of reports using Microsoft Excel, handling mail distribution (USPS/FedEx), organizing files, making copies, and processing documents.
  • Performs other related duties as assigned.

Education/Experience:

  • Minimum 2 years of prior work experience in a Business Administration Position or related field.
  • Preferred: 1 year of professional experience in a leadership role.

Additional Requirements:

  • Proficiency in Microsoft Excel, PowerPoint, SharePoint, Outlook, Word, and related software programs.
  • Familiarity with Canva and/or Adobe Creative Suite (Photoshop, InDesign, Illustrator) is a plus, but not required.
  • Expert ability to communicate effectively across different disciplines or groups and resolve scheduling conflicts.
  • Very Strong attention to detail, organizational aptitude, and a collaborative team spirit.
  • Dependable, self-directed, and capable of project completion with limited supervision.
  • Must have excellent verbal/written communication skills and effective interpersonal skills
  • Proactive problem solver with the ability to multitask, prioritize, and manage time effectively.
  • Strong phone contact handling skills and active listening.
