Pearl City Nursing Home is Hiring an Admin. Assistant Near Pearl, HI

SPECIFIC JOB DUTIES AND FUNCTIONS:

  • Answers telephone; determines nature of call, and directs to appropriate destination in a friendly and courteous manner.

  • Greets visitors and staff and directs to appropriate destination in a friendly and courteous manner.

  • Maintains current files/listings and distribution to appropriate staff and departments for the following:

  • Resident Listing

  • In-House Directory

  • Physician Privileges

  • Prepares and distributes as required weekly/monthly resident census reports, Medicaid reports, and other reports as assigned.

  • Receives, sorts and distributes mail, including use of stamp meter and preparation of special mailing, e.g. certified mail.

  • Orders office supplies and maintains an ongoing inventory.

  • Receives payments, issues receipts, balances and prepares bank deposits as needed.

  • Resident payments

  • Staff/visitor meal tickets

  • Resident petty cash

  • Tuition payment

  • Other miscellaneous collections as requested.

  • Types notices and other correspondence to physicians, vendors, family, and staff including:

  • Physician privileges and annual updates.

  • Notice of Care Conference meetings and telephone confirmations.

  • Annual Health reports, CPR, and other certifications/license

  • Correspondence as requested from other departments.

  • Contacts vendors for the maintenance and repair of office equipment

  • Attaches notices and sorts payroll checks to distribute to staff.

  • Receives and coordinates conference room reservations as requested. Issues job applications and other forms or items as directed.

WORKING CONDITIONS:

Works primarily in indoor environment and requires compliance with safety procedures. Occasionally exposed to potential physical hazards, including repetitive motion trauma disorders, when using equipment, and occasionally to potential chemical hazards and toxic substances when using cleaning liquids, solvents and solutions. Work may occasionally expose employee to dust, mold, fumes, noise, noxious odors, gases, and potential biological hazards, including blood or bodily fluids. Work may occasionally require the use of proper safety clothing, footwear, and personal protective equipment (PPE) and occasionally require going outdoors.


QUALIFICATIONS AND REQUIREMENTS
:

  • High school graduate or equivalent required.

  • Knowledge of basic personal computer skills (spread sheets and word processing) required. Must be able to type 45 words/minute on computer.

  • Minimum of six (6) months in a clerical position or successfully completed secretarial program from an accredited school or college desired.\

WORK HOURS:

Varies per status. Eight (8) hour shifts, weekdays, weekends, and holidays according to unit staffing needs. Overtime may be required.
