Pawtucket School Department is Hiring a Clerk III- A- Accounts Payable/Receivable Office Near Pawtucket, RI

The Clerk III-A in the Business Office is responsible for specialized clerical work, involving the processing of purchase requisitions, claim vouchers and invoices for payment to our vendors as well as preparing deposits for benefit and tuition payments, after school program fees, and all other miscellaneous receipts. Clerk III-A reports directly and receives directives from the CFO.ESSENTIAL JOB FUNCTIONS:?Process vendor invoices for payment for local and/or grant budgets. Provide required information/documents to city accounts payable clerks as applicable to be sure payments are processed in a timely manner.?Verify packing slips and receipts to vendor invoices and purchase orders for pricing and accuracy of invoicing. Verify invoice line item extensions and invoice totals. Resolve any disputes with administrators, principals and vendors.?Track and resolve all backorders on purchase orders with vendors, administrators, department heads and principals.?Work with vendors to resolve any misapplied payments or balances.?Serve as backup for the Clerk III Accounts Payable for Local or Grants, as required by the Chief Financial Officer.?Organize, process, and deposit a large quantity of payments for school programs, employee co-payments and general revenue.?Must be or become familiar with the state mandated Uniform Chart of Accounts which is used exclusively in the general ledger and all accounting functions. Must be able to recognize invalid accounts and recommend code revisions before processing payments.?Must be proficient with spreadsheets in order to track data, note and report discrepancies to supervisors.?Oversee postage machine balances and supplies for Administration Building and High Schools.?Run a monthly open purchase order report to maintain an efficient and current database.?Ability to perform any other clerical and/or accounting duties as assigned by the Chief Financial Officer to ensure the Business Office operates in an efficient manner.KNOWLEDGE, SKILLS AND ABILITIES:?Must have the ability to plan and organize with an emphasis to detail, consistency, and accuracy.?Ability to establish and maintain a welcoming and supportive department environment.?Ability to independently establish priorities and maintain productivity despite numerous interruptions.?Proven experience in attention to detail and timely completion of tasks and paperwork requirements.?Ability to make sound decisions using strong problem-solving skills.?Exceptional interpersonal and customer service skills.?Ability to establish and maintain effective working relationships with employees, supervisors and thegeneral public.?Skilled in the preparation and maintenance of accurate records and reports.?Ability to communicate effectively, orally and in writing.REQUIRED QUALIFICATIONS:?High School Diploma or equivalent.?Proven experience with the operation and use of computers, printers, database software, spreadsheet software, word processing, typing, calculator and general office equipment (MS Office and/or Google).?Proven ability to create and update spreadsheets, including formulas and word processing documents with limited instruction.?Ability to perform moderately complex arithmetic computations, maintain accurate and detailed financial records and files, with minimum supervision.?Must possess a basic understanding of accounting principles and their budgetary effect on the General Ledger, financial statement and UCOA reports.PREFERRED QUALIFICATIONS:?Previous experience in an Accounting environment.?Supplemental courses in Bookkeeping or Business. PHYSICAL REQUIREMENTS/WORK ENVIRONMENT?Frequently required to stand, sit and walk.?Occasional lifting or carrying weighing up to 25 pounds.?The working conditions (light, noise level, temperature, etc. are typical of (primarily) an office setting although the employee may be exposed to adverse weather conditions related to visits to school buildings or other locations.?Specific physical abilities include close vision and the ability to use computer monitors for long periods of time, as well as the ability to communicate verbally in person and on the telephone.
