We have an opening for a Billing Account Administrator.

Under the direct supervision of the Director, Billing, the Billing Account Administrator is responsible for various finance activities in support of their local office. Working as part of a team, the Director, Billing monitors all aspects of billing and serves as a liaison between the assigned billing attorneys and the Billing group.

In this capacity, the Billing Account Administrator will:

  • Facilitate the accounts payable, billing and collections functions for the local office; Collaborate with the centralized accounts payable, billing and collections teams, as well as billing attorneys and their secretaries; become knowledgeable of the assigned portion of the client investment and the guidelines;
  • Handle various aspects of BSR tracking, priority invoice preparation and revision; Monitor the unbilled and receivable inventories for the local office;
  • Secure deferral and write-off approvals for various inventory items;
  • Preparation of compensation and expense data for monthly and quarterly fee applications;
  • Maintain professional fee spreadsheets;
  • Communicate with timekeepers regarding time entries that do not comply with UST guidelines and track responses;
  • Ensure the timely entry of timesheets by local timekeepers; Ensure time entry narrative confirms to the client's billing guidelines;
  • Monitor any changes or updates to local regulations and communicate same to the centralized teams; Assist with local tax and audit preparations;
  • Implement Firm finance initiatives in the local office; Evaluate current procedures and suggest process enhancements;
  • Work overtime as required, in particular at month end and year end; and
  • Handle additional finance-related projects as assigned.

Proficiencies:

  • Advanced knowledge of generally accepted accounting principles and methods;
  • Advanced proficiency in windows- and web-based accounting programs (Elite preferred);
  • Advanced proficiency in MS Excel;
  • Fundamental proficiency in MS Word and MS Outlook; and
  • Advanced proficiency in the English language, written and spoken.

Qualifications:

  • Bachelor's degree or equivalent in accounting or related field (preferred);
  • At least 5 years of general accounting experience (required);
  • At least 3 years of legal billing experience (preferred); and
  • At least 3 years of law firm experience (required).
