Under the general direction of the Associate Dean of Pathways FYE and Outreach & Recruitment, the Director of Outreach & Recruitment is responsible for managing the college's outreach efforts and guided entry services and resources for new-to-college students. The Director provides leadership in the development and oversight of program planning, staffing, and review as well as learning outcomes. They oversee the college's "guided entry" process, ensuring that new students make a smooth transition to college. The Director manages grant-funded outreach programs. Their responsibilities extend to all sites for the District, providing linkages with service area high schools, community organizations and agencies, overseeing program funding, and collaborating with other entities on campus.
EXAMPLE OF DUTIES
Provide leadership to the college's outreach function, including student recruitment; develop relationships with K-12 districts and community entities from which potential students are or might be recruited; ensure a favorable image of the college through organized outreach campaigns and information dissemination; represent the college at off-campus functions and events as appropriate.
  • Assist in the development of systems to track and evaluate students' progress and communication through the "guided entry" (matriculation) process, including completion of financial aid applications, enrollment in summer orientation (JAM), and successful enrollment in college.
  • Plan, develop, organize, coordinate, implement, direct, and evaluate the operations and activities of the assigned college's outreach efforts; identify and schedule all outreach opportunities and advertising sites; oversee the maintenance of the calendar of outreach and promotional activities and events.
  • Prepare, maintain, collect, and compile statistical information and other data related to outreach and matriculation services provided to potential and enrolled students and the number of students served; review and certify the accuracy of data concerning program participation; analyze and evaluate data, identify trends and develop recommendations for improved services and outcomes; prepare statistics and reports of outreach activities.
  • Develop, prepare, and monitor budgets, coordinate expenditures, analyze and review budgetary and financial data, and maximize financial resources; ensure integrity in fiscal matters related to the program control and authorize expenditures related to program activities in accordance with established processes, guidelines, rules, and regulations.
  • Work with managers, supervisory staff, and faculty engaged in guided entry efforts (for example, Admissions & Records, Financial Aid, Counseling, and the First Year Experience) to coordinate high school outreach and other community relations efforts; develop and implement communications and appropriate methods and procedures to optimize efficient and effective delivery of outreach services to recruit potential students and to retain enrolled students.
  • Collaborate with communication and marketing staff to establish marketing plans related to outreach activities and services; assist public information and marketing staff in coordinating marquee recruitment announcements; assist in the development and evaluation of new or improved public relations and marketing goals, objectives, policies, and procedures related to area of assignment.
  • Oversee the facilitation of orientation and advisement/guidance sessions, both on and off campus, for new and potential students to answer questions and provide information concerning the college's expectations for both academic achievement and personal goals
  • Work closely with other District departments and staff to ensure smooth implementation of matriculation component activities; respond to outreach and matriculation requests for information; serve as a campus matriculation policy resource and interpret and communicate matriculation policies, procedures, regulations and other information
  • Chair planning and marketing for key events, such as Welcome Day, Open House, Family Night, Counselor Day; serve as member of committees as assigned, including those related to the accomplishment of outreach goals and those related to various events
  • Coordinate activities to expand and enhance the student ambassador program and other student-related outreach and recruitment efforts
  • Coordinate campus tours of students, families, and other visitors, ensuring that campus tours are conducted professionally by student ambassadors and/or staff for prospective students and their parents
  • Assist in the development and review of all outreach-related promotional materials intended for general distribution; research, recommend, coordinate the acquisition of, and maintain an inventory of appropriate college promotional giveaways and outreach items; select, order and secure all giveaways and oversee the storage, delivery and use of items
  • Ensure the development and production of effective, timely, and accurate printed outreach materials; direct the distribution of digital and printed materials to publicize the college and its programs and opportunities; work with the marketing department to develop, produce, and maintain an inventory of a variety of marketing and promotional items such as graphic designs and artwork, logos, signs, posters, flyers, brochures, and other outreach materials
  • Participate in local city associations that support the college and community events and may promote the college to local citizens
  • Make oral presentations to community members, students, parents, counselors, and professional colleagues at various gatherings; conduct workshops to provide specialized information regarding assigned outreach programs and related student services; represent the college at corporate education fairs and community and business sponsored events, to promote college outreach and recruitment programs and related student services
  • Recruit, hire, train, schedule, assign, supervise, mentor, evaluate, and coordinate the work of full and part-time Classified staff and Student Ambassadors
    • Three (3) full-time HS Relations / College Orientation Specialists (one position, the STEM specialist, is grant funded and the position will be terminated on 9/30/2025)
    • Three (3) Outreach & Recruitment Professional Experts
    • Approximately 15 Student Ambassadors
  • Communicate with District and college administrators and support personnel, representatives of State and federal agencies, educational institutions, social service organizations, counselors and others to coordinate programs and activities
  • Prepare, administer and oversee all budgets related to outreach; prepare recommendations and justifications regarding budget requests; authorize expenditures according to District policies and applicable regulations
  • Serve as liaison with all programs that do outreach and marketing in the community to recommend and advise the most efficient use of designated funds for outreach and marketing
  • Serve as the central clearinghouse for other college departments that participate in the college's outreach and recruitment efforts; initiate an accountability structure to ensure campus outreach efforts performed by a variety of departments is coordinated, with a consistent message, and directed to appropriate individuals or groups
  • Participate in campus and local media production related to student recruitment and school/community relations; ensure that accurate and consistent information is conveyed
  • Provide leadership to department staff in the use of technology to assure the effectiveness and efficiency of departmental operations
  • Perform related duties as assigned
EDUCATION AND EXPERIENCE:
Bachelor's degree or the equivalent from an accredited college or university with major course work in social sciences, liberal studies, communications, education, counseling, or a closely related field.
Three years of increasingly responsible and directly-related paid work experience in an area of student services, such as student outreach, recruitment, or matriculation, preferably in an institution of higher education
