Human Resources Associate/Office Administrator

8:30AM-5:00PM

Monday - Friday!

This position provides administrative support to the Seymour site as needed (e.g., correspondence generation, record keeping, file maintenance, etc.) The Office administrator will assist leadership teams in all aspects of site management through handling day-to-day administrative activities in support of the office.

Essential Job Functions:

GENERAL ADMINISTRATION

  • Greet visitors and communicate arrivals, answer phones, page employees, and coordinate miscellaneous site activity as needed by management personnel; assist in scheduling site visits and interviews.
  • Prepare daily correspondence and calendars as requested by management. Responsible for coordinating meeting space availability and supplies.
  • Write general letters and e-mail responses as needed, communicating clear and concise messages on behalf of managers, or independent of managers direction where possible.
  • Check in and monitor routine contractors and suppliers to the site such as uniform supplier, pest control contractor, vending machine services, etc.
  • Perform basic filing functions.
  • Perform basic routine data entry functions.
  • Generate routine reports from files and systems in use at the site.
  • Perform basic purchasing functions of routinely used operating supplies (first aid kits, breakroom supplies, office supplies, and misc. requests.)
  • Facilitate timekeeping process by reviewing hourly punches, running reports, obtaining corrections, obtaining approvals, etc.
  • Assist payroll as needed.
  • Assist maintenance in entering service requests. On occasion may require printing PM's, approving service requests, creating work orders, and approving works orders.
  • Create and publicize plant wide communications.

EMPLOYEE DEVELOPMENT/HUMAN RESOURCES

  • Assist in recruiting job candidates by screening, scheduling interviews, and coordinating testing of applicants; posting notifications for internal opportunities; maintaining personnel
  • Records; obtaining temporary staff from agencies; negotiate contracts and hiring expectations with temporary and recruiting agencies.
  • Maintains human resources records by monitoring and recording new hires, transfers, terminations, changes in job classifications, merit increases, tracking vacation, sick, and personal
  • Orients new employees by providing orientation information packets; reviewing company policies; gathering withholding and other payroll information; explaining and obtaining signatures for benefit programs or necessary human resource
  • Documents human resource actions by completing forms, reports, logs, and

SAFETY COORDINATION

  • Assist in coordinating site safety training and communicating.

KNOWLEDGE/SKILLS/ABILITIES

  • Must possess excellent verbal and written communication skills.
  • Excellent in Microsoft Word, Excel, PowerPoint, Outlook.
  • Knowledge of other software, such as Visio, MS Project and Access a plus.

EDUCATION/EXPERIENCE

  • High school diploma/GED. College courses or formal training in the skills noted above a plus.
  • Experience in a GMP manufacturing environment a plus.
  • Prior experience in office administration and human resources systems preferred but not required.
  • High-Energy, organized, with proven ability to multi-task.
