Primary Purpose

The HR Workforce Planning Coordinator is responsible for providing high level day-to-day support to Workforce Planning staff by assisting with the organizations ongoing supplemental staffing needs and initiatives. This position works in a highly collaborative manner with multiple HR Partners in support of staffing efforts to meet the needs of internal hiring managers and ultimately our patients.

Minimum Specifications

Education

  • Bachelor's degree required.

Experience

  • Three (3) years' experience building effective relationships, process alignment and facilitation, scheduling interviews, meetings and events in a professional, fast-paced office environment required.
  • Staffing/recruiting environments desired.
  • Experience utilizing MS Office and other technologies (Applicant Tracking Systems, PeopleSoft, SuccessFactors, etc.).
  • Advanced Excel skills required; accountable for building and maintaining data/metrics reports related to new hire processing.
  • Peer leadership, mentoring and training experience highly desired.
  • Proficiency in scheduling and maintaining MS Outlook calendar events; ensuring positive onboarding experience for candidates.
  • Flexibility, strong work ethic, and a strong aptitude around delivering results.
  • Proven ability to multi-task and successfully manage multiple priorities simultaneously.
  • Sense of urgency and a can-do attitude
  • Exceptional written and verbal communication
  • Analytical mindset and have a track record of being a self-directed problem solver.
  • Excellent customer service skills required. Incumbent should have a proactive, customer inviting personality with the ability to initiate conversations to identify opportunities.
  • Previous Medical (Healthcare and/or Hospital) experience desired.

  • Must possess the ability to maintain ongoing knowledge of Parkland policy and procedures, federal and state laws regarding employment practices and provide updates to Talent Acquisition, HR Staff, and department leadership.

  • Prefer familiarity with PeopleSoft and SuccessFactors Talent Acquisition/Management solution.

  • Must have good organizational and decision-making skills, and attention to detail.
  • Must be able to demonstrate intermediate computer skills to include knowledge of Microsoft Office applications and the use of e-mail.

Responsibilities

  • Manage high-volume, complex candidate interview scheduling (including travel and accommodations as needed).
  • Partner with recruiters to ensure a positive candidate and hiring manager experience.
  • Accountable for timely scheduling, communication, and completion of the following candidate stages in the recruiting process: Occupational Health Screening scheduling, Background Checks, Reference Checks, New Hire Communication
  • Accountable for the following quality control initiatives: Verify proper offer acceptance documentation are completed, Verification of start/transfer dates, correct pay structure has been entered into system for every candidate, Collection and validation of required Certifications/Licenses/Skills Test have been uploaded in candidate profile, Verify proper completion and upload of all Jail Health clearance documentation for Correctional Health employees.
  • Data management of all Employee Referrals, Sign-on bonuses, and Relocation cost for recruiting teams supported. Weekly reporting of results.
  • In partnership with the Parkland Learning and Development team, incumbent will be responsible for data reporting daily/weekly of all new hires participating in New Hire Orientation.
  • Accurately maintain daily metrics related to the Pre-Employment process and having the ability to provide needed reports and documentation immediately upon request.
  • Identify opportunities for improving recruiting operations and process.
  • Other duties as assigned.

Job Accountabilities

  1. Identifies ways to improve work processes and improve customer satisfaction. Makes recommendations to supervisor, implements, and monitors results as appropriate in support of the overall goals of the department and Parkland.
  2. Stays abreast of the latest developments, advancements, and trends in the field by attending seminars/workshops, reading professional journals, actively participating in professional organizations, and/or maintaining certification or licensure. Integrates knowledge gained into current work practices.
  3. Maintains knowledge of applicable rules, regulations, policies, laws, and guidelines that impact the area. Develops effective internal controls designed to promote adherence with applicable laws, accreditation agency requirements, and federal, state, and private health plans. Seeks advice and guidance as needed to ensure proper understanding.
