Purpose of Your Job Position

The primary purpose of your position is as Central Supply Clerk to assist in providing supplies and equipment in an efficient manner, in accordance with current applicable federal, state, and local standards, guidelines and regulations, and as may be directed by the Administrator, to assure that the highest degree of quality resident care can be maintained at all times.

Delegation of Authority

As Central Supply Clerk you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.

Duties and Responsibilities

Administrative Functions

·Ensure all telephone orders are confirmed with a written purchase order.

·Ensure all purchase orders are properly prepared, signed, and submitted as required in procurement policies and procedures.

·Assist in preparingcorrespondence and claims concerningdamaged merchandise, errors in shipment, etc., and return to vendor, as required.

·Assist in developing methods for determining quantity of supplies and equipment.

·Make written and oral reports and recommendations to the purchasing agent concerning procurement procedures, as directed.

·Prepare product comparison for quality and costs.

·Ensure various departments are properly charged with supplies they have received for cost allocation purposes.

·Fill requisitions from departments for routine supplies and equipment in accordance with established policies and procedures.

·Deliver emergency supplies and equipment, as directed.

·Ensure that supplies and equipment are properly maintained.

·Organize storage, issue, and delivery of supplies and equipment in accordance with established policies and procedures.

·Check invoices, purchase orders, packing slips, etc., with incoming merchandise.

·Ensure inventory is updated as required, when receiving and issuing supplies and equipment.

·Ensure storage instructions are followed.

·Organize storage and catalog location of supplies and equipment for efficient handling and to prevent deterioration.

·Notify appropriate department when special orders have arrived.

·Fill requisitions, as approved, and file in accordance with established policies and procedures.

·Understand and implement the Facility’s resident charge and scanning system.

·Review resident records to ensure services rendered and supplies being billed are appropriate.

·Monitor utilization of supplies to ensure under and/or over use is not occurring which would indicate gaps in the provision of resident care or waste of supplies.

·Submit charges to the Home Office in a timely manner.

·Collaborate with nursing staff to set-up newly admitted or readmitted residents with the necessary equipment and supplies.

·Participate in development, implementation, and evaluation of Quarterly Assurance (QA) activities for the Facility, as requested.

·Assist in the development of the Quality Assurance program to assure that residents clinical supply needs and Facility par levels, staff training, cost control and reimbursement mechanisms are effective and efficient.

·Ensure that vendors provide appropriate material safety data sheets (MSDSs) in accordance with current OSHA regulations and the facility’s policies and procedures.Report problem areas to the purchasing agent.

Personnel Functions

·Attend and participate in in-service educational classes and on-the-job training programs.

·Attend and participate in workshops, seminars, etc., as approved.

·Attend and participate in annual facility in-service training programs as scheduled (e.g., OSHA, TB, HIPAA, Abuse Prevention, Safety, Infection Control, etc.).

·Must adhere to all HIPAA requirements.

Safety and Sanitation

·Follow all established safety procedures and precautions when handling supplies and equipment (e.g., use of back brace, forklifts, etc.).

·Maintain supply and storage rooms in a safe, clean, and orderly condition.

·Clean and check equipment, as directed or as necessary.

·Report all incidents and accidents, no matter how minor, to your supervisor immediately.

·Report equipment malfunctions or breakdowns to your supervisor as soon as possible.

·Report all unsafe and hazardous conditions, defective equipment, etc., to your supervisor immediately.

·Ensure that work assignment areas are clean and equipment, tools, supplies, etc., are properly stored before leaving such areas on breaks, end of work day, etc.

·Keep your work area(s) free of hazardous conditions, i.e., grease or oil spills, excess supplies, equipment, etc., to assure that all established safety rules or regulations are followed at all times.

·Follow established policies and procedures concerning infection control when delivering supplies and equipment.

·Ensure defective equipment is identified for maintenance repair as required in accordance with established policies and procedures.

·Ensure that department personnel follow established procedures governing the use of labels and MSDSs.

·Report missing or illegible labels and MSDSs to the safety officer or other designated person.

Working Conditions

·Works in assigned areas of the Facility.

·Is involved with physicians, residents, personnel, visitors, government agencies or personnel, etc., under all conditions and circumstances.

·Attends and participates in continuing educational programs.

·Communicates with nursing personnel, and other department directors.

·May be required to work in cramped spaces.

Education

·Must possess a high school diploma or GED.

Experience

·Two (2) years related experience and working knowledge of medical terminology and experience in ordering and maintaining par levels.
