The Executive Assistant Team Lead will perform the full range of executive office and management support functions including but not limited to coordinating schedules, travel, meeting locations, and accommodations, coordinating meetings venues and taking minutes, preparation of charts, graphs, PowerPoint and/or related documents. Tracking and communicating of materials, data, and files. Vendor interface and acting on behalf of the organization as some projects may be delegated.
Responsibilities include:
  • Interacts with the Board of Directors, the office of CEO, investors, and other outside parties.
  • Compiles and prepares meeting materials and agenda topics.
  • Attends daily and/or evening meetings and prepares detailed meeting minutes.
  • Compiles, develops, and presents a variety of regularly scheduled and/or ad hoc narrative, statistical and/or other reports and materials.
  • Conducts meeting follow-through and related tasks such as meeting set-up and clean-up.
  • Executive maintenance of files, committee minutes for BOD and Senior Level Management.
  • Provides administrative support including placing and/or receives phone calls, sending/receiving/reviewing/ forwarding e-mails, and other in-going and out-going confidential correspondence, sorting, and delivering mail, etc.
  • Coordinates calendars, conferences, meetings, and appointments.
  • Makes, confirms, and follows up on travel arrangements and related activities.
  • Oversees various executive projects related to administrative functions.
  • Schedules and coordinates staff attendance at various functions throughout the area as required.
  • Holds weekly or biweekly huddles with other Admins across the enterprise to coordinate, and resource balance on Admin services for all PHS execs as needed.
  • Liaison with facilities, vendors, and building management.
  • Collaborates with all admins and with HR team members to recommend and deliver employee activities that drive employee attraction and engagement.
  • Manages a team of executive assistants.
  • Provides support and assistance to office staff and others that have business with the company.
  • Utilizes AIDET/customer service standards and demonstrates Panoramic Health Standards of Behavior.
  • Upholds, teaches, and enforces Panoramic Health Core Values.
  • Performs other duties and responsibilities as required, assigned, or requested.
Qualifications:
  • Associate’s Degree
  • Bachelors’ degree
  • 10 years of Executive support at the “C” level
  • Prior healthcare experience preferred.
  • Experience working directly for the Chief Executive Officer, Chief Financial Officer, Chief Administrative Officer, or closely related position.
  • Experience working as a high-level Executive/Administrative Assistant with physicians and/or C-level executive(s) in a medical, hospital or similar environment preferred.
  • Typing at 65-75 wpm required.
  • Intermediate to advanced skills in Microsoft Office, including Word, Excel, PowerPoint, and Outlook required.
  • Ability to be professional, communicate effectively and interact with Senior Level Management and BOD's.
  • Ability to work in a fast-paced, result-driven, and complex healthcare setting.
  • Ability to meet strict deadlines.
  • Excellent analytical, problem resolution, organization, and time management skills.
  • Capable of embracing unexpected change in direction or priority.
  • Excellent communication skills.
  • Strong self-sufficiency and initiative working on database projects.
  • Detail oriented
  • Task completion oriented.
