Organizational Summary

Founded in 1916, Palma Ceia Golf & Country Club is located in Tampa’s most prestigious residential neighborhood and is the Tampa Bay area’s oldest and most prestigious private club. The club features an 18-hole championship golf course, tennis courts, swimming, a fitness center, and clubhouse for member entertaining, dining and banquets. Our main focus is providing our members and their guests with outstanding facilities and the highest standard of service.

Job Summary

The membership administrator is responsible for ensuring a consistent, high-level delivery of membership services and activities. Must be able to work a flexible schedule including some weekends, holidays, and special events. The membership administrator must possess strong written and verbal communication skills and demonstrate the ability to communicate professionally with members and other employees, use proper telephone etiquette, and be proactive, polite, and welcoming. 

Essential Duties

  • Works closely with the membership committee in the execution of all functions and manages all membership processes including membership applications, status changes, resignations, conducting prospective member facility tours, maintaining current and prospective member profiles, membership rosters.
  • Supports the Membership Committee in distributing timely communications and correspondence.
  • Assists the membership chairperson with preparation of correspondence to prospective and current members of the Club. Responsible for the administration of the Membership Committee and its duties regarding the nomination process and coordination of membership activities.
  • Manages all membership classifications, waiting lists, and fee schedules.
  • Coordinates prospective member reception and cocktail parties; completes new member onboarding documentation and application paperwork, collects initiation fees and payments, assigns member numbers, and processes monthly close out.
  • Responds to all inquiries from current and prospective members for membership and thoroughly answers questions regarding the membership classifications, Club facilities, annual dues and charges, Bylaws and general Club rules, current and planned activities.
  • Responsible for the administration of the Membership Committee and its duties in the nomination process and coordination of membership activities.
  • Supports the Board of Directors with preparation for monthly meetings, preparation of minutes, and distribution of various reports as needed.
  • Collaborate with current Club Members to promote referrals, nominations, and sponsorship.
  • Assist in authoring membership letters from the Club’s President or Board of Directors.
  • Responsible for membership directory accuracy in maintain membership information. 
  • Maintains an accurate system of membership records including files for each containing current address, family information, membership categories and privileges, and any other pertinent information regarding their membership of the Club.
  • Responsible for the administration of the Annual Meeting of Members in September which includes the annual report to members, nomination of Directors, meeting agenda and materials, meeting minutes and orientation of new directors.
  • Maintains and updates Clubhouse communication boards, including communication on the app and website, facility Rules and Regulations postings, monthly prospective members posting and events communication.

Physical Demands

  • Must be able tolerate extended periods of sitting, walking, and standing; repetitive motion and activities including walking, standing, kneeling, bending, crouching, lifting, and carrying; regularly lifting and carrying objects weighing less than twenty pounds; occasionally lifting and moving objects weighing more than twenty pounds.

Minimum Qualifications

  • Associates degree in and three years of related work experience; or equivalent combination of education and experience.
  • Proficient with computers and software including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Jonas Club Software, and other industry specific software at least at an Intermediate level.
  • Ability to effectively communicate both verbally and in writing with a wide variety of internal customers.

Preferred Qualifications

  • Prior work experience with a golf course, country club, sports facility, or in a service-related industry.
