Job Summary
Responsibleforcomprehensivedevelopmentandmanagementoftheworkingandmasterschedulestomaintain appropriate staffing levels in the nursing department with consideration to acuity and budget.

•Wearsand/orusessafetyequipmentandsupplieswhenindicatedandproperlytrainedtouse.

•Activelyparticipatesintheoverallmanagementoflaborcoststhroughstrictadherencetoschedulemanagement in the electronic scheduling system fair and consistent scheduling practices, tracking unplanned labor hours, managing bonus eligibility and payment amounts.
•UnderstandsPayroll-BasedJournal(PBJ)requirementsandCMSregulationsasitrelatestopayrolland timekeeping for complaint reporting purposes.
•Auditstoensureallhoursworkedinnursingarerecordedcorrectly,toincludeagency/contractorworkerhours, and all work rule transfers are complete for PBJ reporting purposes.
•Interactswithcandidatesduringthepostofferphasetodiscussandassigntheirschedulepatterntoensure continuity of care and balanced daily coverage.
•EnsuresstaffinglevelsalignwithbudgetedPPDbasedoncurrentcensus;consultswithDirectorofNursingfor guidance as needed to meet patient care needs.Compliance with all state and federal staffing requirements.
•Maintainsallschedulepatternsintheelectronicschedulingsystemandusesthisinformationto determine staffing and recruiting needs for the department of nursing.
•Activelymanagesallschedulesforposting,dailydeployment,andCMSStaffPostingrequirementsforthenursing departing using the electronic scheduling system .
•Receivesandmanagesreplacementneedsforstaffcalloffs.
•Updatesalltemporaryandpermanentschedulechanges,daily,usingtheelectronicschedulingsystemforstaffing levels management purposes.This includes entry of pending time-off codes for planned absences.
•Maintainsarecordofabsenteeismusingtheelectronicschedulingsystemandpointaccumulation,if applicable, and reports to the Director of Nursing.
•TimelyrecordsallLeavesofAbsence,specialrequests,time-offandholidayrequests,andrequestsforschedule changes in the electronic scheduling system.
•Obtainsappropriateandtimelyapprovalfortime-offrequests,shifttrades,andvacationrequests.Filesand records all requests.
•AttendsroutinestaffingmeetingsandreportstotheAdministrator,DirectorofNursing,andtheHumanResources Manager, all staffing related information as outline on the Daily Staffing Meeting Minutes form, to include unplanned hours from previous day, hours scheduled for days discussed and budgeted hours.
•MaintainslogofBonusestoensureeligibilityandaccuracyforpayrollpurposes;provideslogtoPayrollClerkfor entry for timely and accurate payroll.
•Maintainsaccurateemployeetelephonenumbersforoffshiftmanagers and PhoneList.Reportsany telephone number changes to HR to keep information updated in Empeon HRIS.
•Maintainsassignmentsandhoursworkedinthedistinctunitinthedepartmentwithintheelectronicscheduling system; updates permanent nursing unit assignment changes in Empeon HRIS.
•ReviewsandutilizesallschedulingrelatedKronosreportstoassistineffectivestaffingandscheduling management.
•Performsanymiscellaneousworkassignmentsasmaybe required.
Education
•Associatedegreerequired;Bachelor’sdegreeinbusinessorrelatedfieldpreferred.Extensiveexperiencedirectly relatedtostaffing,scheduling,andbudgetmanagementmaybeconsideredinlieuofdegree.
•Computerskills,clericalskills,typingskills,andstrongmathskillsrequired.Staffingandschedulingexperience required.
•Exertingupto20poundsofforcetolift,carry,push,pullorotherwisemoveobjects,includingthehumanbodyand supplies, talking, hearing, seeing.
