Overview:
The Dir, Special Events plays a pivotal role in designing, planning, leading, and overseeing the full life cycle of events for the organization. The Dir, Special Events will work closely with cross-functional teams and external partners to ensure the efficient operation and the successful execution of events ensuring that events embrace/reinforce the company culture and highlights the key objectives/audience of the events. The role demands strategic thinking, exceptional leadership skills, and a proven track record in orchestrating successful company events.
Responsibilities
  • Lead Strategic Event Planning (long term and short term): Develop and execute a comprehensive events strategy that aligns with the company’s business objectives, enhances the brand image, and fosters positive relationships with partners, and team members and aligns with the company’s overall business goals.
  • Leadership and Team Management: Lead a high-performing events team, providing clear direction, mentorship, and opportunities for growth. Foster a collaborative and creative environment that encourages innovation and excellence in event planning and execution.
  • Event Conceptualization and Design: Work closely with cross-functional teams to conceptualize event themes, formants, and experiences that resonate with target audiences and convey the company’s values and messages effectively.
  • Logistics and Operations: Oversee the full cycle project management of event logistics which includes but is not limited to planning, venue research and selection, contract negotiations, catering, audio visual equipment, transportation and on-site coordination to ensure seamless event execution. Budgeting and Financial Management: Develop event budgets, manage expenses, and ensure optimal resource allocation to achieve impactful events while maintaining fiscal responsibility.
  • Vendor Management: Source, negotiate with and establish and manage strong relationships with event vendors, suppliers, industry partners, and key stakeholders to secure necessary resources, services, and products for successful event execution.
  • Stakeholder Engagement: Prepares briefing materials for internal and external VIP participants. Provide regular updates and reports to senior leadership on the performance and impact of events initiatives.
  • Leads and demonstrates high standards of timely service and communication to team members, leadership and VIP participants on event related inquiries including status updates and schedules.
  • Negotiate event contracts to comply with strategic sourcing policies in the most cost-effective manner possible. (Contracts may be located in other states or even multi-state vendors).
  • Monitor service contract relationships including service performance, quality, and take appropriate action to correct unsatisfactory results.
  • Ensure compliance with all state and local regulations related to events.
  • Post-Event Analysis: Conduct thorough evaluations of events, analyzing the effectiveness of events initiatives, attendee feedback metrics, and outcomes to identify areas for improvement and inform future event strategies.
  • Stay up-to-date on industry trends, best practices, and emerging technologies in event planning to drive innovation and continuous improvement.
  • Manages annual department/events budget and is responsible for all budget planning for the special events department including managing vendor relationships and negotiating terms.
  • Hire, train, manage, and coach direct reports/department managers to ensure proficiency in all phases of their respective jobs and responsibilities to achieve goals and objectives
  • Performs other duties as assigned by management or as may be necessary.
Qualifications
  • Typically requires BS/BA from an accredited college in related field of study in lieu of degree 10 years of experience.
  • Experience managing both an internal team and external vendors.
Preferred
  • Experience in an executing corporate events that scale from individual departments to companywide participation.
  • Professional certification in Event Planning and Management.
  • Proficiency in event management software systems.
Knowledge/Skills/Abilities
  • Strong abilities in managing the daily operations of department(s) or work unit while developing long term (3-5 years) goals.
  • Strong strategic thinking abilities to understand and process complex information and exercise sound judgement.
  • Outstanding leadership skills; plus exceptional time management and prioritization abilities. Dedication to personal development and education.
  • Well organized and resourceful; effective and efficient at marshaling multiple resources to get things done.
  • Attack everything with drive and energy with an eye on the bottom line; not afraid to initiate action before all the facts are known; drive to finish everything he/she starts.
  • Ability to build trust with those requiring coaching, create a win/win need for change, and recognize and celebrate improvement to sustain change.
  • Possesses "big picture" perspective and able to accomplish that through proper level of articulation across team.
  • Excellent communication (interpersonal, oral, and written) and teamwork skills.
