JOB SUMMARY
Performs a variety of accounting and bookkeeping duties according to established policies and procedures. Maintains contact with staff, vendors and clients and observes confidentiality of client and company matters.

The Accounts Receivable specialist provides financial, clerical and administrative services to ensure efficient, timely and accurate order entry, billing, payment and collections of accounts.

ESSENTIAL DUTIES & RESPONSIBILITIES

• Utilizes computerized accounting software programs (Microsoft Outlook, Excel, Word) to perform duties and responsibilities.
• Carries out billing, collection and reporting activities according to specific deadlines
• Generates and sends out customer invoices or statements
• Investigates and resolves customer inquiries
• Provides requested documentation for audits
• Monthly status reporting of assigned tasks
• Special projects as assigned
• Generates accounting statements and reports.
• Monitors customer account details for non-payments, delayed payments and other irregularities
• Generate age analysis report and reviews
• Updates company CRM system with customer demographic and product information
• Processes service and account cancellations in CRM system
• Follows established procedures for order to cash processing
• Processes credit card payments
• Prepares bank deposits
• Follows up on and collects customer payments
• Researches cash receipts, coding and posting of receipts
• Maintains telephone contact with customers on receivable matters as directed by manager.
• Researches and resolves payment discrepancies

KNOWLEDGE & REQUIREMENTS

• Knowledge of accounts receivable
• Knowledge of office administration and procedures
• Knowledge of general bookkeeping procedures
• Knowledge of general accounting principals
• Proficient in relevant computer software
• Good mathematical background
• Some experience with spreadsheets and automated accounting systems
• Ability to sort, check, count, and verify numbers
• Flexibility to adapt to all situations and work varied hours; possibly work weekends or evenings
• Ability to use 10-key calculator for a variety of accounting functions
• Must be able to type 40 WPM
• Ability to operate office equipment, fax machine, copier, and printers.
• Excellent computer skills, including Word and Excel in a Microsoft Windows environment
• Effective oral and written communication skills

EDUCATION & EXPERIENCE REQUIREMENTS

• Minimum years of work experience: 3 years
• Minimum level of education or education/experience: High School Diploma
