The part-time contract Property Management Coordinator position is the contact for all things maintenance-related for the Our House Properties residential property portfolio. This position acts as a liaison between the property manager, tenants, vendors, and maintenance technicians. The Maintenance Coordinator can expect to work an average of 20 hours of work per week, between the hours of 9:00 a.m. and 6:00 p.m. Monday through Friday. This position allows for the ability to work from home when not required to be on-site at the residential properties that Our House Properties, LLC manages.
Responsibilities:
Work Order Management:
Receive and track maintenance requests from tenants via Appfolio online portal, phone, and email.
Categorize and prioritize work orders based on urgency and severity.
Assign work orders to appropriate in-house staff or external vendors.
Track the progress of each work order and ensure timely completion.
Oversee the procurement of maintenance supplies and parts.
May assist with minor maintenance tasks.
Communication & Customer Service:
Communicate clearly and professionally with tenants, keeping them informed about the status of their maintenance requests.
Manage tenant expectations and answer questions regarding repairs.
Maintain a professional and courteous demeanor during interactions.
Maintain clear documentation of all communication regarding maintenance requests.
Vendor Management:
Research, qualify, and select qualified vendors for various maintenance tasks (plumbers, electricians, lawn care, etc.)
Schedule appointments with vendors and tenants.
Meet with vendors to obtain quotes for services.
Negotiate pricing and ensure work is completed within budget approval by homeowners.
Track vendor performance and maintain positive relationships.
Reporting & Documentation:
Maintain accurate records of all work orders, invoices, and communication in Appfolio online portal.
Provide reports to the Property Manager regarding maintenance activity and completions.
Manage a preventative maintenance schedule for properties.
Other Duties as Assigned:
May place or remove signs at properties.
May place or remove code lock boxes at properties for vendors.
May assist with enrolling properties with utility providers when vacant.
Qualifications:
Salary: The Property Management Maintenance Coordinator wil be paid $20-$25.00 per hour, up to 30 hours per week, depending on qualifications. There is an opportunity for a paid training period upon hire.
