Our House Inc is Hiring a Group Home Manger Near Livingston, NJ

Qualifications: High School Diploma with at least four (4) years experience working with adults with developmental disabilities. Bachelor’s degree with at least two (2) years experience preferred or 4 years supervisory experience. Proficiency in Microsoft Word, Excel, and Outlook. Excellent writing, reporting, and communication skills. Valid driver’s license in state of residence.

Job Purpose: Ensures that all supports are administered to residents per agency policy, DDD, and Medicaid

requirements. Supervises the community residence and the residential staff. Supports, counsels and trains the residents, who are individuals with developmental disabilities, in independent living skills in group homes or apartments which are located in single family and multi-family homes. Is on-call for their group home or supervised apartments for staffing and program issues.

  • Exemption: Exempt from on-call responsibilities during approved time-off of 3 days or more, approved
  • leave, death in family or hospitalization.

Essential Functions

Supervisory

  • Ensures all direct care staff provide services and supports to residents in accordance with their personal goals, objectives and behavior strategies.
  • Ensures that all residents are administered their medication in accordance with Our House, Inc. and Division of Developmental Disabilities medication procedures.
  • Meets with the pharmacy representative monthly to review and approve the monthly medication delivery.
  • Supervises and trains residential staff, conducts program orientation, delegates assignments, monitors job performance, performs staff evaluations, approves time in the electronic time keeping system, develops staff potential, builds staff morale, administers discipline and communicates residence changes/needs to the staff and the Area Director. Makes staff promotion, transfer and demotion decisions with the Area Director and Human Resources.
  • Serves as program on-call for their group home or supervised apartments for staffing and program issues. If required staff coverage is not secured, you must report to work to meet the required staff ratio.
  • Investigates and resolves employee complaints according to OHI policy.
  • Supervises residence: Responsible for staffing schedules, skills trainings, maintaining staff time in the electronic time keeping system, home/apartment and resident logs, weekly activity profile, incident/ accident reports, social and recreational planning, menu, budgeting and spending, home and vehicle maintenance, ensures that weekly home/apartment meetings are held.
  • Trains new employees on the On-The-Job Training Requirements within 2 weeks of their hire date.
  • Conducts monthly staff meetings.
  • Maintains the safety of the home, property and vehicle by following general safety precautions, maintaining security at all times, immediately correcting unsafe conditions, properly maintaining fire alarm system, conducting monthly emergency evacuation drills and promptly removing snow/ice.
  • Obtains and coordinates special training to meet special needs of the residents.
  • Ensures residents are holding weekly house meetings.
  • Attends and coordinates regular in-service trainings according to OHI and DDD requirements.
  • Provides emergency coverage at other locations as assigned by administrative staff.

Administrative

  • Maintain residents’ daily records in the agency’s approve electronic client systems.
  • Conducts interviews with applicants for employment, as assigned. Makes hiring decisions with the Human Resources Department.
  • Meets with Human Resources as needed to maintain an adequate fill rate in the program/home.
  • Develops and maintains the electronic client record and maintains accurate household files/documentation.
  • Develops annual residence goals (Annex A) or group home schedule with the assistance of the Area Director. Achieves goals within set time frame with the assistance of staff and residents.
  • Monitors and ensures staff compliance with all mandatory employment and training requirements.
  • Meets with DD Office of Licensing Inspectors during annual residential inspection. Corrects all deficiencies cited on DD Annual Licensing Inspection Report within set time frame and reports progress and completion to OHI management.
  • Manages and accounts for residents’ funds and spending. Obtains receipts, keeps records and collects reimbursements.
  • Ensure residents funds are managed appropriately to ensure Medicaid compliance. Schedules and requests payments to appropriate spend resident funds as needed.
  • Follows budgetary guidelines.
  • Attends monthly supervision sessions with the Area Director. Takes preventive and corrective measures to rectify deficiencies within set time frame.
  • Assists administrative staff in revising policies and procedures and other agency forms as needed and ensures that staff are trained on all revised policies in a timely manner.
  • Reports to Human Resources on personnel information, volunteer information and worker's compensation accidents.
  • Reports agency vehicle accidents to the appropriate representative in the Quality Assurance Department. Obtains reports, estimates and follows through on repairs, as assigned.
  • Attends and participates in monthly Manager Meetings.
  • Assist with the development and establishes resident goals in conjunction with Interdisciplinary Team through an Individual Habilitation Plan (IHP), Individual Service Plan (ISP) or Essential Lifestyle Plan (ELP).
  • Meets with the DDD Case Manager or Support Coordinator on a quarterly basis, or as needed, for an audit regarding developments and needs of each resident.
  • Communicates with residents' employers, OHI Employment Services, and day program services sharing regular updates and obtaining monthly reports of work performance.
  • Accounts for resident overnights outside of the residence and follows the Our House, Inc. Minimum Utilization Policy to ensure compliance with residential placement regulations, via the electronic client record system.
  • Submits monthly client attendance reports to the Assistant Director of Residential Operations on the first of every month.
  • Addresses regular maintenance needs as they occur. Reports major needs to Director of Residential Operations. Reports emergency needs to Director of Residential Operations and Maintenance during regular business hours. If after regular business hours, reports emergency maintenance needs to the Agency On-Call.
  • Cooperate fully with Our House, Inc., Medicaid, State of New Jersey Department of Human Services, and Division of Developmental Disabilities staff in any inspection or investigation.

Quality Assurance:

  • Report all incidents to QA according to OHI and DDD policies.
  • Protects residents’ information in accordance with Medicaid, HIPPA, and PHI standards.
  • Responsible for the safety and wellbeing of the residents.
  • Monitors residence to maintain compliance with Our House, Inc. (OHI) and Division of Developmental Disabilities (DDD) standards according to OHI Standard Operating Procedures Manual and DDD Manual of Standards and Medicaid.
  • Incorporates OHI philosophy in all aspects of job performance and instills that philosophy in staff through training.
  • Monitors residents' progress toward IHP, ISP or ELP goals through completion of monthly reports.
  • Advocates for the rights of the residents.
  • Identifies and meets special/individual needs of the residents, such as, physical, psychological, social, religious, civil, legal and financial needs.
  • Monitor staff performance and completes staff performance evaluations.
  • Conducts unannounced overnight drills quarterly (during the full-time and part-time awake overnight shifts).
  • Identifies community resources and assists residents in utilizing community resources.
  • Acts as special advocate to individual resident(s).
  • Monitors and submits Speeding Incident Reports to the QA department on an as needed basis and follows up with speeding infractions in a timely manner.
  • Monitors and submits Medication and Documentation Incident Reports to the QA Department on an as needed basis and follows up with Medication Incident Disciplinary Action in a timely manner.
  • Works with the Schedule/Systems Administrator to maintain adequate staffing in the program and to maintain the Electronic Client Record
  • Requirement to wear Personal Protective Equipment (PPE), including a mask, as directed by CDC, OSHA, state and local authorities. All employees must wear masks, as directed, while working their shifts. PPE requirements are subject to change at any time.

Direct Care

  • Transports residents in agency vehicle to appointments, shopping, recreational activities, etc.
  • Manages residents’ medical appointments in accordance with OHI policy.
  • Observes residents for health problems and responds to medical needs. Sets, or assists residents in setting, medical/dental/psychological appointments with nursing staff regarding all residents’ medical statuses and appointments.
  • Adequately provides support in all areas of adult daily living, hygiene, meal prep, etc. when needed.
  • Support and train direct support staff in appropriate direct care techniques based on the needs of the individuals in the home.

On-Call

  • Assume responsibility for home when not scheduled.
  • Work shifts when the staff to resident ratio is not met.
  • Respond to calls, e-mails, texts, and other methods of communication regarding incidents and employee relations issues that occur at the home on the agency work phone (provided).

Secondary Functions:

  • Attends and participates in All Agency Staff Meetings.
  • Assists with agency fund raising activities.
  • Serves on agency committees as required.
  • Other duties as assigned.

  • Environment Demands and Exposures to Hazards: Normal work routine involves potential exposure to blood, tissues, body fluid, air/surface borne infections and chemicals. Must be familiar with Our House Inc.’s ”Bloodborne Pathogens Exposure Control Plan”. Must also attend agency’s annual training which provides information in said policy.

Essential Physical/Mental Demands:

Shall not pose a direct threat to the health or safety of other individuals in the community residence or the OHI Administrative Offices.

Must be able to physically demonstrate how to perform various tasks to staff to ensure that they are properly trained.
