Ottawa County is Hiring a Contractual Services and Housing Program Assistant Near Holland, MI

Under the general direction of a Program Coordinator, collects, compiles, audits, and reports data associated with contractual mental health and substance use disorder services, in order to maximize Community Mental Health of Ottawa County's (CMHOC) utilization management efforts by ensuring contractual agencies and staff comply with all requirements. Provides support and assistance for the Mental Health/Substance Use Disorder (MH/SUD) Contractual Services department, the agency's housing assistance program, and interacts on a regular basis/trains contractual agency clerical staff.
This is a full-time benefited position based out of the Community Mental Health building in Holland, Michigan. Travel to other County locations as needed. Typical working hours are Monday - Friday 8:00am- 5:00pm. The essential functions of this position include, but are not limited to, the following:
  1. Monitors contractual agency compliance with requirements for Behavioral Health Treatment Episode Data Set (BH TEDS), Provider Connect, and other applicable data platforms.
  2. Conducts quality control and assurance tests on new data fields/forms before incorporating them into MH/SUD contractual agency protocols.
  3. Provides technical assistance to contractual agencies when outliers, errors, omissions, or other data problems arise.
  4. Regularly runs exception reports and prompts contractual agencies when needed reports are due.
  5. Answers the CMHOC SUD Provider phone line and acts as a liaison with contractual agency staff to answer questions/resolve problems promptly.
  6. Acts as a liaison with other CMHOC departments such as Fiscal Services, Quality Improvement, and Access Center to coordinate seamless provision of mental health and substance abuse services.
  7. Creates and maintains accurate contact/mailing lists for contractual mental health and substance abuse providers.
  8. Assists the Program Coordinator to schedule, conduct, and record Provider and other meetings.
  9. Develops and trains contractual and agency staff on informational and training materials, and processes and procedures as needed.
  10. Provides administrative support to the HUD Supportive Housing Program including data entry in the Homeless Management Information System, participant communications, filing, participant annual updates, monthly rent data entry and other duties as assigned by Program Coordinator.
  11. Provides front-desk coverage as assigned.
  12. Performs other functions as assigned.
Associate's degree or equivalent, with one year experience in data entry/reporting/management on a variety of software platforms required.
Valid Michigan driver's license required.
Lived experience with mental illness, developmental disabilities, or substance use disorders is valued.Required Knowledge and Skills:
  1. Computer literacy including a thorough working knowledge of word processing, spreadsheet, database management, and specific agency programs and software (e.g., Provider Connect, Avatar, BH TEDS, etc.).
  2. Working knowledge of local, state and federal health codes, statues, rules and regulations as they relate to the Community Mental Health System, including but not limited to the Medicaid Provider Manual, Michigan Mental Health Code, HIPAA, CARF, and Recipient Rights.
  3. Understanding and ability to apply the agency's mission, vision, and value statement.
  4. Proficiency with CMHOC office equipment assigned.
  5. Excellent customer relations skills including the ability to diffuse difficult situations in person or on the phone.
  6. Excellent organizational and time management skills.
  7. Excellent attention to detail and accuracy.
  8. Willingness to learn and use new skills and take advantage of learning opportunities, both formal and informal.

Must be able to perform essential job functions with or without reasonable accommodations, including, but not limited to, visual and/or audio logical appliances, and devices to increase mobility.
Working Conditions:
Work is performed in an office environment. There will be some travel throughout the county to meet with/train contractual providers.
