Job Summary:
The Patient Ambassador maintains high standards for quality in referral source and patient experience management in accordance with OrthoTexas policies, procedures and applicable regulations. The Patient Ambassador is the first contact and face of the organization and works closely with urgent care centers, referring physicians, and other referral sources. Customer service is a top priority to achieve a positive impact in business relationships, having a seamless and easy patient intake process, and increase patient volume by expediting patient treatment, paperwork, and communication for referral sources.
Key Functions:
  • Provides excellent customer service to referral sources by listening and appropriately serving their needs and facilitating treatment for patients.
  • Contributes to an overall positive work atmosphere through actions and attitude.
  • Direct contact for referral source(s) (DOC and others assigned) that will facilitate patient access and treatment for patients being referred per referral source and/or OrthoTexas standards.
  • Relays relevant information to the appropriate internal staff.
  • Follows practice procedures for clinic and physical therapy appointment entry, notating in the PM/E.H.R. systems the referral source for physician awareness and reporting purposes.
  • Obtains patient’s demographic information, diagnosis, and insurance to build the patient’s account prior to patient visit.
  • Verifies patient insurance benefits and obtains referral authorization, if needed.
  • Insures that all testing performed at DOC clinics (x-rays, MRI, etc.) have been pushed to our PACS system and are available prior to when the physician sees the patient in the clinic.
  • After treatment, sends dictation from visit back to DOC provider.
  • Continuously seeks opportunities to improve our (i) access and further relationships with organizational referral networks; (ii) patient experience; (iii) ability to help more patients; and (iv) ability to find more efficient ways of achieving results.
  • Responsible for the creation and maintenance of continuous feedback loop to VP/EVP through weekly and monthly reports and metrics.
  • Serves as liaison between Operations, Marketing and Providers. Develops strong relationships with Marketing, Site Directors, Patient Care Representatives, and other corporate leaders.
  • Utilizes our organizational referral networks CRM software to effectively track referral sources.
  • Monitors our organizational and internal referral networks patient acquisition programs, including OrthoTexas online appointments, to insure our response to referral sources and patients is timely.
  • Participates in office meetings and educational activities.
  • Maintains work area in neat and orderly manner.
  • Complies with HIPAA procedures.
  • Other duties as assigned.
Qualifications:
  • 1-2 years of related experience or an equivalent combination of education and experience
  • Bachelor's degree in applicable field, preferred
  • Bilingual in English and Spanish, preferred
  • Ability to respond to inquiries from referral sources, collect data, and communicate to internal staff
  • Ability to compute simple match for the purposes of, but not limited to, interpreting insurance co-pays and deductibles
  • Ability to type 60 WPM, use Microsoft Office suite, and learn/adapt to software relevant to the Company
