The Medical Records Coordinator is responsible for the maintenance and control of all patient medical records, producing files for use on the request of authorized personnel.

Essential Duties and Responsibilities

  • Electronically files medical records from outside physician offices into the appropriate patient medical charts.
  • Processes data changes to patient and account files; ability to rename, move, and edit documents within a patient chart or to the correct patient chart.
  • Maintains medical records by scanning in new charts from previous day, returned charts, and referrals. Assists with scanning surgery center charts during down time.
  • Electronically file all incoming patient paperwork associated with clinic visits to correct chart.
  • Collects and electronically files paperwork from other departments to be added to charts.
  • Maintains working understanding of current EMR and Practice Management systems.
  • Maintains a clean and orderly work area.
  • Communicates all concerns, breakdown in protocol and constructive criticisms to supervisor. Follows chain-of-command established by supervisor when addressing protocol issues outside of the department.
  • Required to follow OCR and departmental policies and procedures.
  • Other duties as assigned.

Requirements

  • High School Diploma or
  • One year of related work experience in any industry
  • Aptitude for clerical work specifically related to alphabetical and numerical
  • Knowledge of medical records procedures, a
  • Experience with Microsoft Office Suite or related software, ability to quickly learn records system, and similar computer applications.
  • Core competencies in organizational support, detail oriented, communication, teamwork, and confidentiality

Physical Requirements

  • The work environment is the typical office The employee must be able to complete their work satisfactorily in an environment where there are significant distractions, including staff, patients, and vendors walking through and conversing, telephones ringing, conversations carrying over, loud noises, and interruptions to answer questions from others.
  • While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel objects, tools, or The employee frequently is required to talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms, and stoop, kneel, crouch, or crawl.
  • The employee will occasionally lift and/or move up to 25 pounds and should do so in a sound and safe manner. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
