Part-Time Orthodontic Front Office Coordinator/Administrator

Our progressive, state-of-the-art, doctor-owned orthodontic private practice is looking for a front office coordinator/administrator to join our team every Thursday and every other Friday! This role is ideal for someone who is looking to pick up extra days!

You will act as the ‘face’ of our company and ensure patients receive a heartwarming welcome on the phone and in person. Our ideal candidate can deal efficiently with questions, patient education, and has a solid customer service approach. Ultimately, you should be able to ensure our front desk provides professional and friendly service to our patients. Our mission is to provide the best care possible for our patients, and we are dedicated to providing a comfortable and relaxing environment for our patients and employees.

Roles & Responsibilities:

Patient Experience - Provide a warm, friendly, and interactive patient experience, in person and over the phone.

Front Office Operations - Answer incoming calls, make and confirm active and new-patient appointments, check in/check out patients while ensuring all required documentation is recorded in our practice management software and/or provided to the patient (e.g. treatment referral letters, appointment excuses).

Patient Education - Educate patients and promote orthodontic services by building rapport with patients and answering their questions.

Patient Billing - Activate new patient contracts and implement/maintain recurring billing payments; bill, collect, and record monthly payments.

Insurance Coordination - Verify insurance benefits, file, and manage orthodontic claims and payments.

Lab Cases - Manage timely fabrication and receipt of in-house and external lab cases, to include: preparing prescription sheets, sending, tracking, and logging in completed/received lab cases prior to patient appointments.

Team - Work closely with Office Manager, Doctor, and Orthodontic Assistants to support smooth operations of the practice. Prepares and manages employee schedule in relation to patient schedule.

Marketing - Designs and executes marketing with local referrer and community outreach campaigns, manages relationships and promotes practice via in-person and social media marketing.

Compliance - Safeguards staff and patient records, privacy, and confidentiality. Ensures compliance with company policies, as well as State, Federal, and other regulatory bodies.

Facility & Supply Maintenance - Ensures office cleanliness at all times; immediately acts on problems relating to utilities, equipment, software, etc. by coordinating with the people concerned.

The ideal candidate will:

  • Have at least 2 years of experience as an Orthodontic Front Office Coordinator/Administrator
  • Have a working knowledge of dental practice management software
  • Have a solid understanding of filing and managing dental insurance orthodontic claims
  • Be warm and friendly in person and over the phone
  • Have the ability to communicate professionally at all times
  • Be highly motivated to work as a team, and cross train when necessary
