Client Liaison

Job Summary

Are you a CVT or an experienced Veterinary Assistant that needs a less physical role in a busy hospital? Then we have the perfect job for you!

The Client Liaison is responsible for providing support to the entire OVRA team through client communications including updates on hospitalized pets, post visit callbacks, prescription refill authorizations and management, client education during patient discharge as well as other administrative and hospital floor duties.

Essential Duties and Responsibilities

  • Manage and document the day-to-day client communication regarding hospitalized, and recently discharged patients.
  • Work in conjunction with the CSR team to aid in meeting the hospitality needs of clients, addressing their concerns or special needs, facilitating patient visits and help triage incoming patients to the appropriate Specialty.
  • Work with all hospital departments to avoid or limit patient care delays and communicate these delays to clients in a timely manner.
  • Work in conjunction with the Department Receiving Teams to facilitate efficient client flow through the exam/admission/discharge process, updating SmartFlow (the hospital electronic whiteboard system) and ensuring clients are not waiting for excessive amounts of time.
  • Help facilitate the smooth operation of the hospital by acting as a liaison between the client and clinical care teams.
  • Perform daily routine follow up callbacks for patients that have been seen within the hospital and document the outcome in the patient’s chart accordingly.
  • Manage prescription(s) and refill requests.

Knowledge, Skills, and Abilities

  • Thorough knowledge of OVRA services, policies, and procedures.
  • Extensive knowledge of veterinary medical terminology, disease process, and veterinary pharmaceuticals.
  • Ability to show compassion, empathy, and anticipate the needs of a wide variety of clientele.
  • High level of interpersonal skills to handle sensitive and confidential situations and ability to handle confidential and non-routine information discreetly. Position continually requires demonstrated poise, tact, and diplomacy.
  • Working knowledge of secretarial and office administrative procedures.
  • Knowledge of use and operation of standard office equipment.
  • Excellent verbal and written communication skills; knowledge and proficiency in grammar, and spelling.
  • Intermediate skill in operating various software programs such as MS Excel, Outlook, and Word.
  • Ability to maintain organized files.
  • Ability to find solutions to various administrative problems.

Education and Experience

  • High school diploma or equivalent.
  • Minimum of five years of experience providing clinical and customer service support in a veterinary practice
  • Proficiency and familiarity with veterinary terminology, medications, and procedures
  • CVT license preferred, but not required.
  • Experience using veterinary practice management software (EzyVet and SmartFlow a bonus.)

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job. The work environment includes being around animals. The noise level is moderate to high (business machines, medical equipment, and animal clinics with animals’ barking/howling).
