We are looking for a qualified Sales Support Coordinator to join our team. We are looking for a motivated and well-spoken individual. To be successful in this role you should be able to build instant rapport, be goal-oriented and perform well in a team environment.
Candidate should have ability to:
· Manage own time and deadlines effectively
· Handle multiple projects simultaneously
· Assist multiple Sales Reps with daily activities
· Assist customers in a professional manner
· Familiar with programs and systems used; including MS Office Suite, Google Cloud based programs, PDF generation and other common office automation software
· Learn the proprietary software for Scheduling and Job Management responsibilities
· Able to enter data accurately and completely in a timely manner. (45 WPM or better typing speed)
Primary Responsibilities:
· Be available for any inquiries and visits while other team members may be out of office or otherwise unavailable as a part of their normal work activities.
· Monitor Sales Support email entries to make certain customers aren’t inconvenienced if another support person is not available.
· Answer phones calls and emails into office and direct to appropriate people.
· Support Sales Team by helping them stay on-track with project progression. This may include helping them with calls to verify aspects of job status or other information.
· Work with proprietary software to enter project information to facilitate and monitor stages of project progress through design, engineering, manufacturing, delivery, and billing.
· Initiate jobs in system including assigning job numbers.
· Manage status job workflow changes through design approval.
· Maintain office functionality by addressing needed systems, supplies and designated activities to keep office running smoothly.
· Create and maintain Customer Master Files for repeat models
Office Environment:
· This role is based in our Bend, OR office. Fast paced and time sensitive activity with multiple deadlines and priorities. Will be a critical member of the Sales Support Team.
· Some flexibility possible. Must be in office during core business hours of 8:00 AM – 5:00 PM. Office is open from 8:00AM to 5:00PM.
