Benefits to you

  • We pay 95% to 99% of medical insurance premiums for full-time employees, including mental health coverage.
  • The hourly equivalent for this position is $23.98 - $37.20.
  • 10 paid holidays, 2 floating holidays, 3 personal business days, separate sick and vacation paid leaves (prorated for part-time employees), and other employee benefits such as optional insurances and flexible spending plans.
  • OJD will pay you a 5% allowance for bilingual skills (includes ASL) if you can pass a skills test and are assigned to use those skills on the job!
  • In this job profile, we offer candidates new to OJD the first step of the salary range. You are potentially eligible for a 5% annual increase.

Position Highlights

The Crook County Circuit Court in Prineville, Oregon, is hiring a Court Operations Associate.

In this role, you will spend much of your day as the cashier and receptionist clerk for the court. As the first and main contact for the court, you will provide customer service in person, over the phone, and in writing and will interact with judges, court staff, attorneys, litigants, agency representatives, and the public. You will receive payments and documents submitted to the court, review documents for accuracy and completeness, enter information into our case management system, and determine filing fees owed. You will process payments for fines, fees, assessments, bail, security, and copies. You will credit customers’ accounts, generate receipts, balance a cash drawer, and prepare the bank deposit and related paperwork. Additionally, you will perform data entry and provide case management for civil, probate, small claims, landlord/tenant, juvenile, and dissolution cases. You will also schedule mediation and send hearing notices for small claims and landlord/tenant cases.

You will support the Application Contribution Program by conducting personal interviews with program applicants. You will obtain applicants’ personal and financial information, which you will review to determine their level of needed support. You will prepare statistical information and reports, recommend determinations of eligibility to the court, and appear at contested court hearings related to eligibility for services.

Part of your time will be spent processing requests for accommodations under the Americans with Disabilities Act, scheduling and running weekly reports for pending judgments, and processing and routing indictments and search warrants. You will also scan hard copy documents, ensure the images are high quality, and enter the images into the electronic record.

Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

The qualified candidate must have a high school diploma or equivalent.

AND

At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.

OR

Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

  • Experience handling a wide variety of administrative duties, setting workload priorities, responding and adjusting to shifting requirements, and remaining professional and efficient under pressure.
  • Experience using a variety of software programs to access and input information and complete various tasks.
  • Experience providing customer service to a variety of individuals in challenging circumstances.
  • Experience conducting interviews to obtain personal or financial information.
  • Skill in writing and reviewing documents for accuracy and completeness.
  • Experience identifying and safeguarding confidential information and materials.
  • Experience handling cash or other monetary transactions, generating receipts, and crediting accounts.

Working Conditions

  • This is a full-time position, and the work schedule is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per workweek.
  • Occasional after-hours or overtime work, including weekends, may be required.
  • Occasional travel to the Jefferson County Circuit Court in Madras, including travel during inclement weather.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma.
  • Possible exposure to disturbing/hazardous court exhibits.
  • Long periods of sitting or standing at a computer.
  • Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
