Job Overview:

The Accounting Manager – A/R and A/P is responsible for providing accurate accounts receivable and accounts payable services, including customer service, cash management and banking, data entry, documentation and auditing, and research into account discrepancies.

Required Qualifications:

  • AA/AS in accounting BA/BS in accounting preferred.
  • 7-10 years of accounting experience preferred. 4-5 years of accounting experience required.
  • Experience working with Sage Intacct software preferred.
  • Commitment to promoting diversity, multiculturalism and inclusion with focus on culturally responsive practice, internal self-awareness and reflection.

Accounts Receivable: 

  • Supports AR Administrator by performing and sorting cash applications, making daily deposits via desktop deposit and recording daily EFT deposits.
  • Retrieves payment support from various websites including SWIFT, Credit Card sites and PayPal.
  • Processes authorizations and applications for credit cards payments.
  • Coordinates the sending of statements to all private pay and parent responsibility accounts.
  • Writes refund letters and collection letters as necessary. Communicates with clients to set up and monitor payment plans.
  • Analyzes aging reports, meets with program teams monthly to review, and determine actions to resolve open balances.
  • Prepares bank ACH file for periodic deposit into and withdrawals from resident savings accounts.

Accounts Payable: 

  • Supports AP Administrator with processing vendor invoices including utilities, check requests, capital purchase request, and expenses reports, including mileage reports.
  • Manages and maintains Intacct, Paper Save, and Concur Systems, and Amazon access.
  • Collaborates with Learning & Development team related to trainings for new Program Coordinators, Assistant Coordinators and Program Managers in financial practices and procedures.
  • Reviews and reconciles Supervised Living house checking and petty cash ledgers.
  • Creates new vendors in systems and ensures W-9 are available.
  • Assist with month end financial closing which includes reconciliations of Accounts Payable, Accounts Payable Month End Accrual, intercompany, employee and client receivable accounts.
  • Prepare journal entries as needed.
  • Leads annual 1099 reporting.

Other duties: 

  • Leads, manages two accountants – AR Administrator and AP Administrator.
  • Assists Controller/Assistant Controller with any month end procedures, projects..
  • Assists with year-end audit as needed

  • This is a full-time, benefit eligible position working standard business hours Monday through Friday.
