On the Spot Aid, Inc is Hiring an Administrative Coordinator Near Englewood, FL

On The Spot Aid, Inc (OTS) is a street medicine outreach, providing assessments, treatments, education and provision of basic first aid supplies in public places where the homeless can be found. The role of the Administrative Coordinator is a part-time 20 hour per week position with a possibility of becoming full time. The incumbent is to ensure the smooth operation of administrative tasks through collaboration with the Board, Clinical Coordinator, volunteers, community partners, donors, and those we serve. The incumbent reports to the OTS Board of Directors. This position is located at the Recuperative Care Center at 655 N Indiana Avenue, Englewood, FL.

Position Title: Administrative Director

Reports to: On The Spot, Inc. (OTS, Inc.) Board of Directors

Compensation: $22.00/hour (20-30 hours/week)

Hours: Flexible except as determined by speaking engagements and Board Meetings

Location: Off the Streets Recuperative Bldg., 655 N. Indiana Ave, Englewood, FL

Administrative Coordinator Roles and Responsibilities:

Volunteer Responsibilities

  • Assists with volunteer recruitment and orientation
  • Ensures licensure compliance of professional volunteers
  • Uploads inventories to SharePoint

Financial Responsibilities

Donor Related

  • Tracks and enters donor contributions
  • Sends Thank You card to donor within a week of donation
  • Picks up donations as needed
  • Maintains Master Donor List in SharePoint

Budget Related

  • Collaborates with bookkeeper to reconcile revenue and expenses
  • Inventories in-kind donations
  • Deposits checks, pays credit card Pays bills including insurance (vehicle, building, liability insurance) and building rent
  • Assists the Board and bookkeeper with preparing an annual budget
  • Submits year end reports

Other

  • Ensures adequate number of gift cards are on hand
  • Explores grant opportunities, including writing and reporting

Communications

Media/Electronic

  • Is familiar with and comfortable using SharePoint
  • Schedules meetings, answers phones and emails, and maintains digital and physical records
  • Maintains GoDaddy website
  • Ensures a social media presence including Facebook
  • Updates content, email list, new contacts on the OTS website
  • Develop video catalog with videographer as needed

Customer

  • Maintains rapport with customers, volunteers, Clinical Director and Board members
  • Maintains the P.O. Box
  • Provides Donors with program updates
  • Gathers articles, assembles, and distributes quarterly OTS newsletter
  • Contacts past and new organizations to schedule speaking engagements
  • Ensures grant reporting is completed and submitted within the timelines required
  • Participates in community presentations
  • Maintains confidentiality of service users and donors
  • Updates the Clinical Director and/or Board of issues that need to be addressed
  • Communicates with and supports the Clinical Coordinator

Recuperative Care Center

  • Organizes volunteers to assist with regular cleaning of the facility, bedding, and clothing
  • Arranges delivery of meals for users of the Recuperative Care Center
  • Ensures Recuperative Care Center maintenance
  • Ensures safety and security is maintained
  • Greet clients when they stop in
  • Keep records for reporting “proof of concept”

Work Hours

This position requires the incumbent to be creative, well-organized, positive, and a self-starter. On The Spot, Aid, Inc. is a unique organization that has garnered the respect of those it serves, our donors, and our community partners. The incumbent will work 20 hours per week at $22/hour and be located primarily at the Recuperative Care Center.

Education, Experience, & Licensing Preferences

  • BA or associate’s degree in business management or related field
  • Past management or supervisory experience a plus
  • Past administrative experience
