Overview

THE MODERN HOME OF AMERICAN GOLF

Located 30 miles north of downtown Dallas, Omni PGA Frisco Resort is the largest resort currently in development in the country. Opening spring 2023, the resort will feature 500 guest rooms and suites, 10 four-bedroom ranch houses, three pools, including an adults-only rooftop infinity pool, a destination spa, Lounge by Top Golf, and over 127,000-square feet of indoor and outdoor meeting and event space. An expansive retail and entertainment district will feature dining, shopping and an outdoor stage set to be activated for concerts and outdoor programming. The Resort will become a leading destination for golf providing an unparalleled experience for those who are advanced players, new to the game, and everything in between. The resort will offer 46 holes of golf designed by Beau Welling and Gil Hanse, including two 18-hole championship golf courses, a lighted 10-hole short course, and a lighted two-acre putting green. 

Job Description

Omni PGA Frisco Resort is seeking an Assistant Director of Conference Services

Directly supports director of conference services with oversight of the Conference Services department. Provide a seamless flow of leadership to act as de facto department leader in the absence of the director of conference services ensuring a consistent product to standards, while maximizing profitability and protecting the integrity of the guest experience.

Responsibilities

  • Responsible for assisting the director of conference services in directing, coordinating, training and supervising all staff within the department, including conference services managers, coordinators and event concierge.
  • Provide oversight through participation in training, guidance and mentorship as well as assist in conducting regular performance reviews for the aforementioned positions.
  • In tandem with the director of conference services, ensure all department team members adhere to all property policies, procedures and guidelines.
  • Responsible for coordinating and supervising assigned group business after it is turned over by the sales department, throughout and through the closure of the event and subsequent financial aspects of the program, while maintaining profitable operations and high-quality products and service levels.
  • Handles high-profile and select convention groups. Fulfill the role of main contact for these accounts to coordinate final arrangements for convention/meeting. Advises hotel department heads of special requirements of groups coming into the hotel.
  • Act as a liaison between client and operating departments to ensure a successful meeting and to generate repeat business.
  • Establishes and maintains efficient office procedures to facilitate the smooth operation of the department.
  • Assist in creating annual Banquet budget as well as weekly/monthly updates to forecasted revenues, to include banquet food, beverage and room rental.
  • Review and approve all BEOs prior to distribution. Monitor process and timeliness and accuracy of pop-up and revised BEOs.
  • Conduct daily BEO meeting
  • Conduct weekly Resume meeting
  • Attends Food and Beverage meetings and credit meetings
  • Participate in semi-annual comp set analysis for Banquet F&B menu review.
  • In tandem with director of conference services, provide full participation in the interviewing and hiring process of all departmental roles.
  • Support the on-boarding experience for all conference services associates.
  • Support the on-boarding experience for all administrative assistants and event concierges.
  • Manages event concierge and the conference services coordinator. Responsibilities include scheduling, conducting monthly one on one meetings, coaching and counseling, creating development plans, and conducting annual performance reviews.
  • Responsible for managing department payroll through Kronos.
  • Establish and maintain rapport with outside purveyors, who provide services for the Hotel and its guests through the Conference Services department.
  • Take initiative to identify improvement opportunities for various departmental processes
  • Regularly monitor conditions of function rooms and public spaces.
  • Ensure compliance with all hotel standards and local laws as well as health, fire and safety and sanitation awareness standards.
  • Encourage and build mutual trust, respect and cooperation among co-workers. Treat co-workers fairly and equitably
  • Respond swiftly and effectively in any emergency or safety situations. Ensure a safe working and guest environment to reduce the risk of injury or accident.
  • Attend all required department trainings and meetings.
  • Perform any other duties required by resort’s leadership
  • Provide leadership in the absence of the director of conference services.

ENVIRONMENT & PHYSICAL REQUIREMENTS:

  • The ability to stand, sit and walk for extended periods of time
  • The ability to bend, reach and lift to 50lbs and push, pull and carry up to 50lbs
  • Prolonged screen time and heavy keyboard usage due to high volume computer use
