Olin College of Engineering is Hiring an Advancement Services Coordinator Near Needham, MA

Job Description

POSITION SUMMARY:

The Advancement Services Coordinator is responsible for fundraising database management including gift recording, database reporting, data integrity, and data security, as well as building and maintaining robust data management processes and procedures. With an understanding of different users’ perspectives, the specialist leverages expertise in fundraising database management to provide support to department staff on best practices. The specialist will serve as a team lead for the College’s migration to a Raiser’s Edge database.

This is an in-person/on-campus position based in Needham, MA, with possible flexible work options. Any approved remote work arrangement must be performed in the state of Massachusetts where Olin is registered to do business.

RESPONSIBILITIES:

Data Entry and Management
• Responsible for gift entry, other data entry needs, and recording updates with a focus on accuracy.
• Develops procedures to ensure integrity and security of database information.
• Continuously improves the quality of alumni and donor data.

Liaison with Finance
• Serves as the liaison with Finance for the gift reconciliation process and posting of all gifts and pledges.
• Produces gift and pledge reports for Finance.

Database Training and Expertise
• Serves as team expert in the fundraising database, providing support to team members as needed.
• Creates and develops database training materials for ODCR staff.
• Trains staff in database operations in conjunction with the Director of the Olin Fund. 
• Advises on proper procedures ensuring accurate recording of gifts.
• Ensures compliance with fundraising policies, goals, and procedures.
• Collaborates with technology staff as needed.

Support ODCR Outreach
• Develops and produces regular reports for ODCR staff.
• Establishes new reports in support of a campaign.
• Creates custom reports based on the needs of the department.
• Provides data for solicitations, pledge reminders, and phonathons.
• Produces mail, email, and other lists for communications from ODCR staff and other staff as needed.
• Performs other duties as assigned.
EXPERIENCE AND QUALIFICATIONS:
• Bachelor’s degree required.
• At least 3 years of relevant professional experience.
• Strong understanding of data administration, gift processing and fundraising practices.
• Experience with fundraising databases (Raiser’s Edge or similar preferred).
• Superb attention to detail, while also understanding the big picture and application of a report or other work.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office products, in particular Excel.
• Technically astute and analytical with the ability to synthesize, evaluate, and convey data clearly and cohesively.
• Strong problem-solving skills and effective collaboration skills.
• Strong organizational skills and detail-oriented 
• Demonstrated understanding of and commitment to values of equity, access, and belonging. Company Description
