POSITION: PART-TIME ADMISSIONS ASSOCIATE
START DATE: JULY 1, 2024
REPORTS TO: DIRECTOR OF ENROLLMENT MANAGEMENT
CLASSIFICATION: PART-TIME HOURLY, 15-20 HOURS PER WEEK
COMPENSATION: COMPETITIVE WITH AREA INDEPENDENT SCHOOLS
Old Trail School is seeking an energetic, personable, positive, and detail-oriented professional to join our
collaborative team as the Admission Associate. The Admission Associate will play an essential role as a
member of Old Trail’s admission team. This position is a combination of data management, managing
the inquiry and outreach process, guiding prospective families throughout the admission process
(primarily application management and general questions), and general office support. Responsibilities
also require a high level of collaboration with other offices on campus and include both daily
responsibilities and longer-term projects.

The Admission Associate is often the first point of contact for prospective parents, students, and the
community at large, demanding integrity and confidentiality, as well as warmth, humor, and excellent
communication skills. This role regularly engages with prospective families, providing timely, thorough,
and persuasive communication about the people, programs, and opportunities at Old Trail.

The office works with families from all backgrounds and ensures that the admission process is accessible
and equitable and treats all students and families with dignity. The admission team works closely
together to support one another to achieve the school’s admission goals. The environment is fast paced
and constantly changing, which requires team members to be able to multitask, be flexible, innovate,
and adapt quickly. An ability to maintain confidentiality while acting as a bridge between the classroom
and admission experience is key.

Primary Responsibilities

  • Serve as the initial point of contact for families making their way through the admission process
in person, over the phone, and via email by articulating the value proposition of the school and
processing inquiries.
  • Serve as the admission database coordinator for both Blackbaud and Finalsite, ensuring data is
clean and consistent across systems.
  • Maintain clean and accurate records in Blackbaud and Finalsite for all-school use, including
accurate records and data related to prospective and admitted students.
  • Process all admission office inquiry mailings and subsequent follow-up steps to encourage family
visits to the school.
  • Participate in general office functions, including answering admission phone calls, clerical tasks,
scheduling appointments, ordering supplies, preparing mailings, assisting with events and
functions.
  • Process online applications via Blackbaud, including uploading forms, scanning tests and paper
admission documents to upload, ensuring submitted records are complete, and assigning
completed applications to the admission committee.
  • Assist in scheduling and hosting student visit days, group visit experiences, playdates,
screenings, and individual admission assessments
  • Maintain and update the admissions section of the website, including calendars and forms in
both Blackbaud and Finalsite for self-scheduling and group visits.
  • Work with marketing and communications to manage reprints and updates to documents using
the production printer and paper cutter.
  • Attend regular meetings and cross-campus staff meetings and events; attend all admission
events and new student events, and student/family orientations.
  • Together with the Admission Office, partner with the communications office to identify and
highlight compelling curricular endeavors that highlight the mission and purpose of the school.
  • Spirit wear liaison: partner with external affairs to organize, promote, and execute the school
spirit wear program, and potentially revitalize the Buffalo Boutique.

Required and Preferred Experiences and Skills

  • Bachelor's degree required.
  • In-depth knowledge of independent schools is preferred; experience in teaching or office
administrative roles will be considered.
  • Well-developed organizational and interpersonal skills and the ability to manage multiple tasks
and projects concurrently, often with competing priorities.
  • Strength and fluency with technology, including a familiarity with database management and

admission office software CRMs (Blackbaud, Finalsite, FAST), Microsoft Office Suite, Google
Suite, Excel, and Zoom.

  • Have, or be willing to earn, state certification to work with early childhood students.
  • The ability to maintain confidentiality in addition to professional integrity is essential.
