Overview
The Event and Marketing Manager is responsible for booking, planning, coordinating, and facilitating the logistics of events throughout the Heart of Oklahoma Expo. They will act as a liaison for the building with all parties involved in the events.
This role will pay a salary of $50,000 to $60,000.

About the VenueEncompassing 52 acres of fairgrounds, the Heart of Oklahoma Expo Center features five unique facilities including indoor and outdoor, paved and dirt floor arenas, a conference center, and one of Oklahoma's largest RV parks.
Wi-Fi is available throughout buildings and barns, and our staff specializes in providing quality A/V, catering, concession, and other event services to ensure your event thrives in Shawnee. 
Located 35 minutes from the intersection of I-40 and I-35 -- the crossroads of America -- this contemporary venue is just two miles off of I-40 on Hwy 177, located adjacent to the Shawnee Regional Airport and one hour from Will Rogers World Airport, making it an easy destination for any traveler. 

Responsibilities:
  • Responsible for booking, planning, coordination, and facilitating the logistics of events throughout the Heart of Oklahoma Expo; act as liaison for building with all parties involved in the events
  • Assist in the development and implementation of goals, objectives, policies, and priorities of all Marketing programs and event activities
  • In coordination with the General Manager prepare event estimates as determined by requirements using the annual budget as a guide
  • Develop and manage new social media strategies and campaigns. Managing a budget to be spent on promoting social media posts and pay-per-click (PPC) advertising. Keeping track of data and analyzing the performance of social media campaigns
  • Timely and accurately communicate with expo center staff on all requirements necessary for the operations and production of events
  • Coordinate event seating layouts with box office if necessary
  • Coordinate show requirements with tour production managers
  • Deliver timely and accurate event information to the General Manager and finance department for settlement/invoicing
  • Exercises discretion and utilizes independent decision-making during events that will best represent the Heart of Oklahoma Expo Center and serve the client
  • Ensure that all event insurance certificates, licenses, and permits required for production are obtained in a timely manner
  • Troubleshoot during event preparation and during the event to ensure that all setups are correct including making decisions about policy, procedures, billing, and staffing
  • Oversee all event setup, event staff, event event-related contract services
  • Develop and manage new social media strategies and campaigns. Managing a budget to be spent on promoting social media posts and pay-per-click (PPC) advertising. Keeping track of data and analyzing the performance of social media campaigns
  • Assist in all aspects of Marketing and Event plans
  • Market and manage expo center sponsorships, including but not limited to; arena banners, venue signage, etc.
  • Researches, identifies and establishes the appropriateness of groups for the facility
  • Assists in developing and implementing the Marketing and Event activities of the facility including developing budget submissions and follow-through systems and procedures
  • Meets specified goals and objectives for facility usage
  • Fosters coordinated efforts with other members of the region’s hospitality industry and maintained effective relations with representatives of local user groups
  • Communicate problems and proposed solutions to the General Manager
  • Assist in the design and creation of Marketing materials and when appropriate in the presentation of said materials
  • Place venue advertising including digital, radio, print, television, and digital outdoor
  • Manage promotional giveaways including research, vendor relations, creative input, ordering, and fulfillment of all giveaway items
  • Track results of all Event and Marketing campaigns

Qualifications:
  • Bachelor’s degree in a related field from an accredited college/university preferred; equivalent work experience will be considered
  • 2 years of event management experience in an arena, convention center, stadium hotel, or public assembly facility highly preferred
  • Strong management, motivational & organizational skills required
  • Ability to communicate clearly and concisely in the English language, both orally and in writing
  • Proven working experience in digital marketing, particularly within the industry. Demonstrable experience leading and managing, marketing databases, and social media advertising campaigns
  • Knowledge of operational characteristics of events, including crowd management and control techniques; fire and public safety regulations, and A/V equipment
  • Willingness to work the hours necessary/permitted by the General Manager (includes nights, weekends, and select holidays, in addition to traditional business hours)
  • Proficient in the use of Microsoft Office Programs
  • Proven working experience in digital marketing, particularly within the industry. Demonstrable experience leading and managing, marketing databases, and social media advertising campaigns
